What the Business Document Remaining Elevations Is

The Business Document Remaining Elevations is a construction deliverable that documents the outstanding elevation drawings and related information required to complete a building or renovation project. It aggregates revised façade, height, and finish details, lists outstanding action items, identifies responsible parties, and provides dates for required revisions and approvals. Used by architects, contractors, permit applicants, and owners, the form clarifies what remains to be produced or approved before final inspections or permit closures and is commonly exchanged electronically for review and signature.

Why a Clear Remaining Elevations Document Matters

A precise Remaining Elevations document reduces ambiguity between project stakeholders, shortens review cycles, and provides an auditable record of outstanding deliverables. It helps avoid rework, supports permit approval, and creates a clear path for final inspections while preserving a timestamped history of decisions under ESIGN and UETA where applicable.

Why a Clear Remaining Elevations Document Matters

Typical Roles That Complete or Receive This Document

Several project roles either prepare or act on Remaining Elevations; understanding who is involved helps with routing and approvals.

  • General Contractor — Coordinates outstanding elevation items, schedules field verification, and tracks completion with subcontractors.
  • Architect / Design Team — Produces revised elevation drawings, stamps changes if required, and confirms code compliance.
  • Project Owner / Manager — Reviews outstanding items, approves final design details, and authorizes release for inspection.

Assigning clear responsibilities up front reduces back-and-forth, shortens approval times, and supports accurate electronic signing and recordkeeping.

Step-by-Step: Completing and Circulating Remaining Elevations

Follow these sequential steps to prepare, validate, and distribute the Remaining Elevations package for review and signature.

  • 01
Prepare Package: Collect revised elevation sheets, legend, and revision log into one PDF.
  • 02
Add Identification: Label each sheet with project name, drawing number, scale, and revision date.
  • 03
Assign Reviewers: List required signers and their sequence; include permit authority if needed.
  • 04
Send for Signature: Distribute electronically with clear instructions and attach supporting documents.

Configuring an Online Approval Workflow

Set up a digital workflow that enforces signer order, required fields, and authentication to match local permitting and contractual needs.

Field Configuration
Signer Order Sequential or parallel routing based on project roles
Required Fields Enforce drawing number, revision date, signature fields
Authentication Email link or SMS code to confirm identity
Attachments Include referenced specifications and structural notes

Where to Send Completed Remaining Elevations

Knowing the typical destinations for the executed document ensures correct routing and prevents delays in approvals or inspections.

  • Local Building Department: Submit the signed package for permit review or amendment filing.
  • Project Architect: Return a signed copy to the architect for record and drawing consolidation.
  • General Contractor: Distribute to field teams and subcontractors for implementation.
  • Project Owner: Provide the owner with a signed archive copy for project closeout.

Delivery Channels and File Requirements

Choose delivery channels and file formats that are broadly accepted by permitting authorities and project teams.

  • Accepted Formats: PDF, PDF/A, DOCX, DWG exports for drawings
  • Integrations: Supports Salesforce, NetSuite, Google Workspace integrations
  • Storage Options: Box, Google Drive, AWS, Egnyte compatible

Use a single, locked PDF for signatures to prevent post-signing edits; keep an editable source file for future revisions and version control.

Key Components Included in a Professional Remaining Elevations Package

A complete package combines technical drawings, administrative metadata, revision control, and a clear signatory area so reviewers and inspectors can act without requesting additional materials.

Cover Sheet

Project summary, contact information, permit number, and list of included sheets to orient reviewers and link the package to the permit application.

Elevation Sheets

High-resolution revised elevation drawings with scale, dimensions, material callouts, and keyed notes that reflect the outstanding items requiring approval.

Revision Log

A concise table showing revision number, date, description of change, and author to maintain an auditable history of updates.

Action Items

A checklist of outstanding tasks, responsible party, and due date so reviewers know what remains before final acceptance.

Supporting Notes

Code references, material specifications, and clarifying annotations that reduce review questions and resubmittal cycles.

Signature Block

Designated signers, printed name, title, date, and an electronic signature area that documents intent and attribution for each approver.

How to Download, Save, and Share the Final Package

Export and archive the executed package in stable formats suitable for long-term storage and regulator submission.

Download as PDF/A

Export a locked PDF/A for archival compliance and to ensure consistent rendering during future access or agency review.

Save Original DOCX/DWG

Keep editable source files in a secure repository to allow future revisions without degrading drawing fidelity.

Flatten Signed PDF

Flatten signatures and fields to prevent inadvertent alteration after signatures are applied.

Export Audit Trail

Download a certificate of completion or audit log that shows signer attribution, timestamps, and IP data for legal records.

Security and Compliance Considerations

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Audit Trail: Timestamps, IP, and action logs retained
ESIGN / UETA: Meets ESIGN and UETA legal standards
SOC 2: SOC 2 Type II available on request
HIPAA: HIPAA-compliant with BAA available
21 CFR Part 11: Supports FDA-regulated record needs

Consequences of Incomplete or Incorrect Remaining Elevations

Permit Delays: Submission errors lead to review hold-ups
Contractual Breach: Missed obligations may trigger liquidated damages
Invalid Signature: Improper signing can render approvals unenforceable
Liens and Claims: Incomplete records can complicate lien rights
Data Exposure: Poor handling increases breach risk
Retention Failures: Insufficient archiving risks noncompliance

Common Preparation Errors to Avoid

  • Omitting revision dates or mixing multiple versions in one package, which causes confusion during permit review and may trigger resubmittal requirements.
  • Using inconsistent naming conventions between permit applications and drawings, resulting in mismatched records that slow approval and complicate archive retrieval.
  • Failing to include a revision log and responsible party contact, which forces reviewers to request clarifications and extends review cycles unnecessarily.
  • Submitting low-resolution or non-scaled images of elevation sheets, which prevents accurate code compliance checks and leads to rejection for clarity reasons.

Practical Tips for Accurate and Efficient Completion

Apply consistent practices to reduce review friction and create defensible, auditable records.

Use a Single Master PDF
Combine all related sheets and documents into one locked PDF to ensure reviewers see the correct set; include a cover sheet with a table of contents and revision log to prevent version confusion during approvals and inspections.
Standardize Naming and Dates
Adopt a consistent naming convention (projectcode_sheet_rev) and use MM/DD/YYYY for all dates so permit clerks and legal teams can cross-reference files without ambiguity or transcription errors that could delay processing.
Enforce Required Fields
Make drawing number, scale, revision date, and signature fields mandatory in the digital workflow to avoid incomplete submissions and reduce the need for resubmittals and follow-up communications.
Keep an Audit Trail
Preserve the execution log with signer attribution, timestamps, and IP/verification details to support dispute resolution and demonstrate compliance with ESIGN and UETA if signatures are questioned.
