What the Business Document VVI-DVV Is and when it applies

The Business Document VVI-DVV is a standardized business form used to document material terms and authorizations between commercial parties, including identity, scope of work, payment terms, and governing law. It is commonly used where a concise, validated record is required for internal approvals, vendor onboarding, or contract attachments. When completed correctly the form supports downstream processes such as tax reporting, record retention, and audits, and can be executed electronically in compliance with the ESIGN Act (15 U.S.C. ch. 96) and applicable state UETA laws where those statutes apply.

Why using a standardized VVI-DVV matters for businesses

A clear, complete VVI-DVV reduces ambiguity in obligations, centralizes key business facts, and supports consistent recordkeeping across transactions.

Why using a standardized VVI-DVV matters for businesses

Who typically completes or signs a VVI-DVV

The VVI-DVV is used by several internal and external roles across organizations.

  • Contract managers and procurement teams who need consistent vendor terms and onboarding documentation.
  • Finance and accounts payable personnel who require accurate payment instructions and tax identifiers for reporting.
  • Business owners or authorized officers who provide formal approvals and attestations on behalf of the company.

Use role-based routing and explicit signer authority to avoid delays and ensure the document binds the correct legal entity.

  • 03
Review: Confirm accuracy, authority, and ancillary attachments before routing.
  • 04

Authentication Email + SMS code or stronger where required
Conditional Fields Show/hide sections based on selections

Where to send or file the completed VVI-DVV

Route the executed document to operational owners and recordkeeping systems to ensure compliance and accessibility.

  • Contract Repository: Store final PDF and metadata in corporate repository
  • Accounts Payable: Upload for invoice matching and payment setup
  • Tax Records: File with supporting documents for IRS retention
  • Legal File: Retain executed copy for audit and dispute defense

Digital signing and eSubmission considerations

Select eSignature settings that satisfy legal, authentication, and storage requirements before sending.

  • Authentication Level: Choose email-only or add SMS/KBA for higher assurance
  • Audit Trail: Capture IP, timestamps, and signer actions
  • File Formats: Save executed copies as PDF/A for archival

Confirm the platform supports ESIGN/UETA compliance, secure storage (AES‑256), and export of audit logs to meet legal and audit requirements.
