What a Business Driver Letter Is and When it’s Used

A Business Driver Letter is a concise formal document that explains the commercial rationale, objectives, and expected outcomes behind a proposed action or request. Organizations use it to justify new projects, vendor onboarding, capital expenditures, policy changes, or special approvals. The letter typically summarizes business need, estimated costs and benefits, risks and mitigations, and the requested decision or authority. It serves as a record of intent for internal reviewers, procurement teams, finance approvers, and external stakeholders who require a written justification before authorizing resources or contractual commitments.

Why Prepare a Business Driver Letter

A clear Business Driver Letter organizes key facts for decision makers, reduces back-and-forth, and creates an auditable rationale that can be stored with contracting or procurement records. When paired with a recordkeeping system that supports electronic signatures and audit trails, it also helps meet evidentiary and compliance needs across regulated industries including healthcare and financial services.

Why Prepare a Business Driver Letter

Typical Users and Reviewers

Teams prepare Business Driver Letters for internal approvals and external validation when decisions have financial, regulatory, or contractual impact.

  • Finance and procurement teams — Requesters cite return-on-investment, budget lines, and payment terms for reviewers to authorize spend quickly.
  • Project sponsors and PMOs — Sponsors outline scope, milestones, and resourcing implications so PMOs can align schedules and deliverables.
  • Legal and compliance reviewers — Legal checks contractual risk language and compliance officers confirm regulatory requirements are addressed before approval.

Clear audience identification speeds review and ensures the letter contains the evidence each stakeholder needs.
