What a Business EAN Report Is and when it’s used

The Business EAN Report is a standardized corporate record that lists and verifies Employer Account Numbers (EANs) and related account identifiers used for federal, state, and third-party reporting. Organizations generate this report to reconcile payroll, unemployment insurance accounts, and vendor or benefits platforms that require an assigned EAN. The report typically aggregates entity legal names, taxpayer identification numbers, account statuses, effective dates, and cross-references to payroll or filing periods. It is used internally for compliance and externally when supplying verified account information to agencies, auditors, or financial counterparties.

Why maintain a clear Business EAN Report

A Business EAN Report reduces errors in regulatory filings, supports accurate payroll reconciliation, and documents account changes for audits. Maintaining a clear EAN report improves internal controls and helps respond to agency requests or vendor onboarding with verifiable identifiers.

Why maintain a clear Business EAN Report

Teams and stakeholders who rely on the Business EAN Report

Typical users include payroll teams, compliance officers, and accounting staff responsible for federal and state reporting and reconciliation.

  • Payroll administrators: manage EIN/EAN entries and reconcile payroll tax deposits and reporting.
  • HR and benefits teams: verify account numbers for retirement, insurance, and payroll deductions.
  • External auditors and regulators: require documented account identifiers during compliance audits and reviews.

External stakeholders such as auditors, benefits providers, and government agencies may request the report during reviews or onboarding.

Essential sections to include in a professional Business EAN Report

Core sections in a Business EAN Report ensure traceability, legal identification, and audit-ready account history for each listed entity and account.

  • Name mismatches: Legal name differences between IRS records and payroll systems often lead to rejected filings and require manual reconciliation.
  • Weak access controls: Unrestricted sharing of EAN reports can expose sensitive TINs and violate policies like IRS or HIPAA handling requirements.
