What a Business EF Request is and when it’s used

A Business EF Request is a standardized form used by companies to authorize and document an electronic funds transfer or to request release of funds for a business transaction. It typically records payer and payee details, account routing or wire instructions, payment amount and purpose, authorization signatures, and any supporting approvals. The form creates an audit trail, enforces internal controls, and reduces manual errors when initiating ACH or wire payments. It can be completed and transmitted electronically consistent with U.S. e-signature laws.

Why using a Business EF Request improves controls

Standardizing fund requests reduces reconciliation errors, documents internal approvals for audits, and supports bank verification. It provides a clear signature trail under ESIGN and UETA, helps meet bank and compliance checks, and limits exposure to payment fraud.

Why using a Business EF Request improves controls

Primary users and external parties involved

Finance, accounts payable, treasury, and authorized business officers complete Business EF Requests to initiate ACH or wire payments.

  • Corporate treasury teams responsible for cash management, bank setup, and payment authorization controls.
  • Accounts payable staff processing vendor ACH and wire payment requests.
  • Business owners and authorized signatories approving high-value or one-off transfers.

External partners such as banks or payment processors may receive or verify the request during settlement and compliance checks.

Who typically signs Business EF Requests

CFO — Chief Financial Officer

The CFO typically holds authority for high-value transfers and sets delegation limits. They approve treasury policies, sign bank mandates, and are accountable for oversight of internal controls and regulatory compliance for outgoing funds and large payments.

Controller — Accounting Controller

Controllers or finance directors commonly approve routine and recurring payments within delegated thresholds, maintain reconciliation records, and verify documentation before submission. They coordinate with AP, treasury, and auditors to ensure reconciliation and audit readiness.

Core sections every professional Business EF Request should include

Essential sections define parties, payment details, bank routing data, authorization language, supporting approvals, and audit metadata to ensure traceability and bank acceptance.

Parties

Payment Details

Specify payment amount, currency, purpose, invoice or reference numbers, and whether the amount is fixed or estimated. Include settlement terms and expected value date where relevant.

Bank Instructions

Approvals

Attach internal requisition numbers, manager or controller sign-off, date stamps, and supporting invoices or purchase orders to document the approval chain for audit purposes.

Audit Findings: Incomplete records increase audit risk.

Common errors to avoid when preparing the request

  • Transposing account numbers or routing digits leads to misdirected funds and requires time-consuming recovery processes with banks and possible legal and reconciliation costs.
  • Failing to include proper internal approvals or exceeding signer authority can invalidate the request and expose the organization to internal control findings and compliance exceptions.
  • Using scanned, low-quality bank instructions or handwritten account data increases verification delays at the receiving bank and often triggers manual review and exception handling.
  • Neglecting beneficiary name verification or omitting SWIFT codes for international transfers frequently causes rejections, intermediary fees, and longer settlement times.

Exporting, archiving, and storing completed requests

Export signed Business EF Requests to common formats and archive supporting documents to maintain compliance, enable bank uploads, and facilitate audits across systems.

PDF Export

Save a locked, timestamped PDF/A version that preserves signatures and audit metadata for legal and archival purposes.

CSV Ledger

Export transaction metadata to CSV for reconciliation with accounting systems and bank statements.

Cloud Archive

Store encrypted copies in approved cloud repositories with access controls and retention policies aligned with compliance.

Supporting Attachments

Practical tips to reduce errors and speed approvals

Adopt consistent procedures and validation checks to reduce errors, speed approvals, and strengthen internal controls for fund transfers.

Double-verify bank details before submission
Cross-check account and routing numbers against bank confirmation or vendor-provided bank letter. Use checksum tools where available and require a secondary reviewer to validate data to minimize misdirected payments.
Define authorization thresholds and delegations
Document tiered approval limits for different payment amounts, enforce segregation of duties, and require higher-level sign-off for unusual or high-value transfers to ensure consistent compliance.
Use secure transmission and audit trails
Send signed requests through encrypted channels or compliant eSignature platforms that capture timestamps, IP addresses, and signer authentication for dispute resolution and regulatory review.
Maintain banker relationships and mandates
Keep up-to-date bank mandate letters and beneficiary confirmations. Communicate bank-specific requirements before large transfers and verify any special formatting the receiving institution needs.
