What the Business EFTGC Template Is

The Business EFTGC Template is a standardized electronic funds transfer general consent form that documents a commercial payer's authorization to debit or credit a business bank account for recurring or one-time transactions. It captures payer and payee identifiers, routing and account details, consent language, effective dates, and optional dispute procedures. The template is designed to be used with electronic signature and recordkeeping systems, and to be adapted for industry-specific requirements such as HIPAA addenda or state-specific notarization where applicable.

Why this Template Matters for Business Payments

A clear EFTGC reduces payment delays and compliance risk by documenting consent, bank details, and authorization scope in a single record suitable for electronic signature and retention under U.S. law.

Why this Template Matters for Business Payments

Who Typically Completes a Business EFTGC

Common users include accounts payable, treasury, procurement teams, and third-party payment processors who need documented EFT authorization.

  • Accounts payable teams completing vendor setup and recurring debit authorizations.
  • Treasury or finance teams managing automated receivables and direct debit agreements.
  • Payment processors and billing platforms collecting customer bank consent for ACH.

Use the template as a corporate record for payment setup, renewal, or audit support.

Step-by-Step: Completing the Business EFTGC

Follow these four core steps to prepare, verify, and finalize the authorization in an auditable electronic workflow.

  • 01
Prepare the draft: Populate payer, payee, bank, and authorization fields with verified data.
  • 02
Verify identity: Confirm signer authority with corporate records or two-factor authentication.
  • 03
Obtain signature: Collect electronic signature and date with an audit trail.
  • 04
Store and distribute: Save the signed record and send copies to affected teams.

Critical Elements to Include in a Professional EFTGC

A compliant template should combine clear authorization language with capture of payment details, signer authority, dispute procedures, retention instructions, and optional authentication controls.

Authorization Clause

Plain-language consent describing transaction types, limits, and whether the authorization covers recurring or single transfers.

Bank Details

Explicit fields for routing transit number, account number, account type, and bank name to reduce processing errors.

Signer Authority

A statement that the signer is authorized to bind the business, and a place to describe role or attach corporate resolution.

Dispute Process

Steps for reporting unauthorized transfers, contact points, and timelines for investigation and remediation.

Retention Notice

Language describing record retention period and how the electronic record will be stored and reproduced.

Authentication Options

Recommended signer authentication: email link, SMS code, KBA, or SSO depending on risk profile.

How to Configure an Online EFTGC Workflow

Map each form field to a workflow setting, choose signer authentication, and set routing rules for approvals and archival.

Field Configuration
Bank Fields Required and validated with format checks
Signer Authentication Email + optional SMS code or KBA
Approval Routing Sequential approval to legal and treasury
Storage Secure archive with tamper-evident audit

Typical Routing and Processing Flow

This flow describes the sequence from draft to archived signed record in an electronic signing platform.

  • Upload Document: Sender uploads the completed template to the signing system.
  • Place Fields: Sender assigns signature, date, and data fields to appropriate parties.
  • Signer Action: Signer authenticates and executes the authorization online.
  • Archive & Notify: Signed copy and audit trail stored; notifications sent to stakeholders.

Platform Considerations for eSigning and eSubmission

Choose a platform that supports secure storage, robust audit trails, and integrations with accounting or ERP systems.

  • Integrations: Salesforce, NetSuite, Microsoft 365, Google Workspace, and ERP connectivity
  • Document Support: PDF, DOCX, and Excel input/output formats
  • Security Standards: TLS in transit and AES-256 at rest
