What the Business Enrichment API Does

The Business Enrichment API is a programmatic service that standardizes and augments business entity data by matching supplied identifiers (for example, legal name, EIN, DUNS, or address) against authoritative data sources. It returns normalized records such as verified legal name, tax ID validation status, industry classification, headquarters address, and risk or compliance flags. Organizations use the API to automate onboarding, reduce manual lookups, populate forms, and improve data-driven decisions. When integrated with document workflows it can prefill contract fields and support accurate eSignature routing under U.S. e-signature laws.

Why teams add a Business Enrichment API to workflows

A Business Enrichment API reduces manual entry and verification work, lowers downstream errors, and helps meet regulatory checks (for example TIN validation and KYC). It improves consistency across systems, shortens time to signature on agreements, and supports compliance-ready document assembly while remaining compatible with ESIGN and UETA standards.

Why teams add a Business Enrichment API to workflows

Which teams typically use this API

The Business Enrichment API is used by teams that need accurate, standardized company data before finalizing documents or transactions.

  • Sales operations and contract administrators who need clean company records before sending agreements.
  • Compliance, risk, and onboarding teams performing TIN checks, sanctions screening, or basic KYC verification.
  • Finance and billing groups that require validated legal names and tax IDs for invoicing and 1099 reporting.

Teams integrate enrichment as a pre-sign step to prevent rework, reduce compliance risk, and speed approvals across channels.

Representative users and decision-makers

Compliance Officer

A compliance officer integrates enrichment to reduce manual verification, enforce TIN and address validation, and generate audit logs tied to onboarding records. They require consistent provenance and retention of match results to demonstrate controls during internal or external review.

Sales Ops Manager

Sales operations managers use the API to populate contract templates, ensure counterparty names match legal records, and remove friction from signature requests. Accurate data reduces failed payments and reissued documents, improving close cycles and administrative efficiency.

Core components of a production-ready Business Enrichment API

A professional enrichment API combines identification, validation, structured output, controls, and integration features so data can be relied on inside signing and compliance workflows.

Identifier Matching

Accepts inputs such as legal name, EIN/TIN, DUNS, or address and returns high-confidence entity matches with match scores and alternative candidates.

Tax ID Validation

Verifies EIN/TIN formatting and cross-checks with IRS data or authoritative sources to flag missing or invalid tax identifiers for reporting.

Industry Classification

Provides NAICS or SIC codes and descriptive industry text to support routing, risk scoring, and correct contract terms.

Address Normalization

Standardizes business addresses to USPS format, flags PO boxes, and returns geocoded coordinates when needed for jurisdictional checks.

Risk & Compliance Flags

Returns sanctions or watchlist indicators, ongoing monitoring tags, and notes on document-level restrictions that affect transaction eligibility.

Audit & Provenance

Records request metadata, timestamps, and match confidence for audit trails that support dispute resolution and regulatory review.

Quick steps to integrate enrichment before document signing

Use this sequence to add enrichment to a signing workflow and ensure accurate, auditable party data before sending for signature.

  • 01
Map Input Fields: Identify which form fields will feed the enrichment request.
  • 02
Send Enrichment Call: Call the API with identifiers and optional filters.
  • 03
Review Matches: Accept best match or present alternatives for manual review.
  • 04
Populate Document: Prefill contract fields and continue to the eSignature step.

Typical data flow from input to signed document

A standard flow connects form capture, enrichment, validation, and final signing so data is verified before documents leave the organization.

  • Capture: Collect inputs from form, CRM, or intake screen.
  • Enrich: Call API and retrieve normalized company data.
  • Validate: Confirm TIN, address, and risk flags programmatically.
  • Sign: Merge validated data into document and route for signature.

Common workflow configuration options

Choose settings that match your risk tolerance, legal requirements, and signer experience when wiring enrichment into signing flows.

Authentication Level Email link | SMS OTP | KBA | SAML
Enrichment Mode Auto-accept high-confidence matches or prompt manual review
Data Retention Policy Store match results for required retention period
Error Handling Fallback to manual entry or verification queue
Integration Points CRM, ERP, contract repository, and eSignature system

Integration and platform considerations

Ensure the selected enrichment service supports your document platform, authentication methods, and data formats before integration.

  • APIs & Formats: REST JSON, CSV, XML supported
  • Integrations: CRM, ERP, cloud storage connectors
  • Document Formats: PDF, DOCX, HTML accepted

Verify compatibility with your eSignature provider and retention controls; verify TLS and at-rest encryption are supported and confirm any BAA or audit requirements.

Timelines and expected processing windows

Plan enrichment checks and document routing with explicit SLAs to avoid delays in signature collection or tax reporting timelines.

Enrichment Response SLA:

Typical API responses return within 200–800 milliseconds depending on plan and query complexity

Data Refresh:

Update authoritative matches at least quarterly or on each new contract execution

Signature Window:

Set signing expiration aligned with business process, commonly 7–30 days

Tax Reporting:

Collect validated TINs before year-end to support Form 1099 timelines

Notarization Scheduling:

Allow additional time for RON session scheduling and recording retention

Key milestones from data capture to closed agreement

Map milestone stages so teams know when enrichment is required and when handoffs occur during execution.

01

Intake Completed

System auto-accepts match or queues for manual review.

04

Final Execution

Document prefilled, routed, and signed under eSignature controls.

Common pitfalls when using enrichment services

  • Submitting only a trade name or DBA can produce no matches or incorrect matches, delaying document assembly and signature routing.
  • Relying on low-confidence fuzzy matches without manual review may introduce legal-name errors that require contract re-execution.
  • Failing to collect an authorized signer name that matches government ID increases friction for notarization and identity proofing.
  • Not aligning retention and audit logs with regulatory needs (for example IRS or HIPAA) can complicate audits and compliance reviews.

Regulatory risks and penalties to consider

Incorrect 1099: Penalties under IRC §6721 apply
Intentional Disregard: IRC §6721 penalties escalate to $660+ per form
I-9 Violations: Paperwork fines per 8 CFR §274a.2
HIPAA Noncompliance: Civil penalties and corrective action
Contract Invalidity: Misidentified parties may void agreements
Operational Delay: Re-execution increases time and cost

Security and compliance controls relevant to enrichment data

Encryption in Transit: TLS 1.2/1.3
Encryption at Rest: AES-256
Certifications: SOC 2 Type II
HIPAA Support: BAA available
Audit Trails: Request and match logs retained
Access Controls: Role-based permissions

Practical examples of Business Enrichment in use

These short case arcs illustrate common implementations and outcomes when enrichment is applied to document workflows.

Real Estate Closing

A brokerage enriches entity names to match titles and deeds

  • Auto-match reduced re-executions
  • The result was fewer manual corrections and more timely closings with cleaner audit trails for recordkeeping and title work.

Vendor Onboarding

A finance team validates EINs before issuing payments

  • Matches flag invalid TINs for follow-up
  • This prevented backup withholding and reduced the number of corrective 1099 filings at year-end.

Practical tips for reliable enrichment and signing

Follow these practices to reduce exceptions and maintain a clear audit trail across enrichment and signature steps.

Collect authoritative identifiers
Capture EIN/TIN or third-party IDs at intake to improve deterministic matches and reduce fuzzy-match errors.
Log match provenance
Store match scores, source names, and timestamps to support audits and dispute resolution.
Use manual review thresholds
Automatically accept only high-confidence matches and route lower-confidence results to a verification queue.
Align retention and compliance
Ensure match records and signing artifacts meet the most stringent applicable regulatory retention periods.
