What the Business ERB Template Is

The Business ERB Template is a standardized expense reimbursement and business expense reporting form designed to collect itemized expense details, supporting receipts, business purpose, dates, and approval signatures. It structures employee or contractor claims for travel, meals, supplies, and other business costs so accounting can verify, code, and reimburse accurately. When paired with a consistent approval workflow and retention policy, the template reduces ad hoc handling and supports tax reporting, internal audit trails, and compliance with corporate expense policies.

Why a Clear ERB Template Matters

A well-designed Business ERB Template speeds reimbursement, reduces errors, and creates an auditable record tied to receipts and approvals. When executed electronically it meets ESIGN Act (15 U.S.C. ch. 96) and UETA requirements for enforceability while improving finance team throughput and policy compliance.

Why a Clear ERB Template Matters

Who Typically Completes and Approves ERBs

Typical participants include the expense claimant, a direct manager approver, and accounts payable or finance staff who process and code the claim.

  • Employees and contractors submitting expenses for reimbursement, with receipts attached and business purpose stated.
  • Managers or project leads approving expenses to confirm business purpose, policy compliance, and budget availability.
  • Accounts payable or finance teams coding expenses, applying tax treatment, and issuing reimbursement via payroll or ACH.

Larger organizations often add centralized audit or procurement reviewers for high-value items or vendor payments; smaller teams consolidate review and payment in the finance function.

Core Sections Every Professional ERB Template Should Include

Organize the template to collect claimant identity, expense details, receipts, business purpose, approval routing, and accounting codes to make review and reimbursement straightforward.

Claimant Details

Fields for full legal name, employee ID, department, contact info, and cost-center or project code so finance can attribute costs accurately and match payroll records.

Expense Lines

One row per expense with date, vendor, expense category, currency, pre-tax and tax amounts, and a subtotal to make reconciliation and per-diem calculations transparent.

Receipts

Clear instructions to attach scanned receipts or photos for each expense line; require original receipts for per-policy thresholds and specify acceptable file formats and size limits.

Business Purpose

Concise description of why the expense was incurred, meeting organizer or client name, and project or trip identifiers to validate business necessity.

Approvals

Designated signature or approval fields with role, approver name, date, and optional secondary approvals for amounts above configured thresholds.

Accounting Codes

Fields for GL account, tax treatment, and reimbursement method (payroll vs. AP payment) to ensure correct posting and tax reporting.

Step-by-Step: Filling and Submitting a Business ERB

Follow these steps to complete the form, attach receipts, obtain approvals, and route to accounts payable for payment.

  • 01
Prepare Receipts: Collect and scan receipts before starting the form.
  • 02
Complete Fields: Enter claimant and expense details accurately.
  • 03
Attach Documentation: Upload receipts and supporting files for each line.
  • 04
Submit for Approval: Send to manager, then to finance for processing.

Configuring an Online Approval Workflow

Map roles and routing rules so approvals, thresholds, and notifications occur automatically when the ERB is submitted.

Field Configuration
Approver Sequence Manager → Finance → AP for payments
Approval Thresholds Auto-escalate amounts over preset limits
Notifications Email and in-app alerts for pending approvals
Auto-Validation Flag missing receipts or incorrect totals

Digital Signing and Technical Requirements

Select a platform that supports secure eSignatures, audit trails, and common file formats to keep records intact and verifiable.

  • Authentication: Email, SMS code, or stronger options
  • File Formats: PDF, DOCX and image support
  • Integrations: Connectors for ERP, cloud storage, and CRM

Risks and Consequences of Inaccurate ERB Submissions

Tax Reclassification: Incorrectly substantiated reimbursements may be treated as taxable wages
Audit Exposure: Missing receipts increase risk of IRS adjustment or audit
Payment Delays: Incomplete or mismatched data delays AP processing
Internal Policy Breach: Noncompliant claims can lead to disciplinary action
Duplicate Payments: Poor controls can cause double reimbursements
Data Privacy Risk: Excess PHI in attachments can trigger HIPAA issues

Common Errors to Avoid When Preparing an ERB

  • Submitting photos of receipts that are cropped or illegible, which forces manual follow-up and extends reimbursement time.
  • Using vague business purpose descriptions like 'meeting' without naming client, project, or deliverable, which blocks manager verification.
  • Entering incorrect dates or mismatched employee IDs, which misroutes the claim and delays payment reconciliation.
  • Attaching a single consolidated receipt for multiple expense lines without clarifying allocation, which prevents accurate GL coding.

Where to Send or Submit the Completed ERB

Route the completed ERB to the appropriate approving manager, then to finance or accounts payable for final coding and payment.

  • Submit to Manager: Manager receives email link and approves or requests changes
  • Forward to Finance: Finance verifies coding and tax treatment
  • Accounts Payable: AP issues reimbursement via payroll or ACH
  • Archive: Store signed ERB and receipts in secure records

Practical Tips for Faster, Accurate Reimbursements

Adopt consistent rules, clear attachments, and automated validations to reduce manual review and exceptions.

Attach Receipts Immediately
Require receipt uploads at submission time and enforce acceptable formats to prevent later follow-up and to preserve proof for tax or audit purposes.
Use Predefined Categories
Limit categories to a controlled list with linked GL accounts so approvers and accounting can code claims quickly and consistently without guesswork.
Set Approval Thresholds
Define monetary thresholds that require additional review or multiple approvers to control spend and reduce fraud or policy circumvention.
Keep an Audit Trail
Record timestamps, approver identities, IP addresses, and document version history to support post-payment audits and compliance reviews.

Real-World Examples of Online Expense Forms in Use

Organizations use electronic templates to speed approvals and maintain a reproducible audit trail across mobile and desktop workflows.

Martin Properties

Tim Martin implemented online ERBs to process vendor and travel expenses faster.

  • Resulted in shorter approval cycles and fewer missing receipts.
  • He reported that processing and executing documents online kept compliance consistent and supported remote approval workflows for his team.

Fertility Centers

John Butler centralized expense submission with an electronic template and approvals.

  • The change reduced routing errors and paper storage.
  • The firm retained secure, auditable records and found the API integrations simplified recordkeeping across systems.

Who Can Sign or Approve an ERB

Authorized Signer

Typically a claimant signs to certify accuracy; an authorized manager or designated approver signs to authorize reimbursement and confirm business purpose and policy compliance.

Delegated Approver

Organizations may delegate approval authority by role or amount to project managers or finance approvers; delegation rules should be recorded in policy to ensure valid approvals.
