What the Business Expense MET Sheet Is and When It’s Used

The Business Expense MET Sheet is a standardized internal form used to capture, itemize, and authorize business-related expenses for reimbursement or accounting. It records details such as date, merchant, expense category, amount, business purpose, and supporting receipt references, and it provides signature blocks for employee, manager, and accounting approvals. Organizations use this sheet to ensure consistent expense substantiation, simplify bookkeeping, and create an auditable trail for tax and compliance purposes. The form can be adapted for recurring programs like travel, client entertainment, mileage, and petty cash reconciliations.

Why a Clear MET Sheet Matters for Finance and Compliance

A well-structured Business Expense MET Sheet standardizes reporting, reduces errors, and creates an auditable record that supports timely reimbursements and correct tax treatment.

Why a Clear MET Sheet Matters for Finance and Compliance

Who Typically Completes and Reviews This Expense Sheet

Employees prepare and submit the sheet; managers and finance personnel review and approve it before payment.

  • Employees submitting expenses for business travel, client meals, supplies, or mileage reimbursement.
  • Managers or supervisors who verify business purpose and policy compliance prior to approval.
  • Accounts payable or payroll staff who validate receipts and post reimbursements to the ledger.

The completed sheet becomes part of the vendor/payment packet and accounting records for audits and tax reporting.

Step-by-Step: Completing and Submitting the MET Sheet

Follow this sequence to prepare a complete submission that finance can process without follow-up.

  • 01
Prepare Receipts: Collect itemized receipts and credit card statements for each expense.
  • 02
Fill the Sheet: Enter all fields accurately, use MM/DD/YYYY dates, and categorize expenses.
  • 03
Attach Evidence: Upload digital receipts and any approvals required by policy.
  • 04
Submit for Approval: Send to your manager or routing queue; ensure signature fields are completed.

Core Elements of a Professional Business Expense MET Sheet

A clear MET Sheet groups information for quick validation, supports policy checks, and creates a permanent, auditable transaction record for accounting and taxes.

Header

Company name, department, employee ID, and report period. This metadata ties the sheet to payroll, expense ledgers, and month-end close processes.

Expense Line Items

Date, merchant, category, description, pre-tax amount, tax amount, and total. One line per transaction simplifies parsing and control checks.

Totals & Allocation

Subtotal, tax, reimbursable amount, and accounting distribution (GL account or project code) for accurate ledger posting and cost tracking.

Attachments

Receipt file references or embedded images. Include invoice numbers and card transactions to support external audits and expense verification.

Approval Workflow

Employee signature, manager approval, and finance authorization fields. Include dates and role identifiers to create an audit trail.

Notes & Policy Flags

Free-text notes for exceptions, client entertainment details, or policy override explanations to justify nonstandard expenses.

Common Mistakes to Avoid

  • Omitting itemized receipts — banks statements alone often fail IRS substantiation and delay approvals.
  • Entering incorrect dates or amounts — mismatched entries can cause reconciliation exceptions and payment delays.
  • Using vague descriptions — missing business purpose for meals or entertainment can trigger expense denial.
  • Failing to allocate GL or project codes — incorrect or missing allocations complicate cost reporting and audits.

Risks and Potential Consequences of Incomplete Records

Reimbursement Delay: Missing documentation
Expense Denial: Noncompliant business purpose
Tax Adjustment: IRS disallowance risk
Backup Withholding: Incorrect TIN triggers 24% rate
Audit Exposure: Insufficient substantiation
Policy Discipline: Repeated violations
