What the Business FAI Report Is and When It’s Used

The Business FAI Report (First Article Inspection Report) documents the initial production sample inspection and acceptance criteria for a new product or process. It records measured dimensions, material certifications, assembly observations, nonconformances, and approval decisions from engineering, quality, and supplier representatives. Used to verify that production parts meet design specifications before full-scale manufacturing, this formal record supports traceability, corrective actions, and contractual acceptance. The report typically includes identification details, inspection methods, test results, disposition, and signatory approvals required to close the first article cycle.

Why a Formal FAI Report Matters to Quality and Contracts

A Business FAI Report provides objective evidence that a supplier's first production run conforms to design and contractual requirements. It reduces production risk, documents nonconformities and corrective actions, and creates an auditable acceptance record useful for quality management systems and supplier performance tracking.

Why a Formal FAI Report Matters to Quality and Contracts

Who Typically Prepares and Reviews an FAI Report

Typical users include quality engineers, manufacturing managers, suppliers, and procurement teams responsible for production acceptance and supplier qualification.

  • Quality engineers: execute dimensional inspections, interpret tolerances, document deviations, and approve dispositions.
  • Manufacturing managers: confirm process readiness, review corrective actions, and authorize production ramp-up.
  • Suppliers and procurement: submit first articles, attach certification, and resolve inspection findings.

Using the report aligns cross-functional sign-offs and creates contractual evidence for acceptance, warranty triggers, and supplier corrective action plans.

Sections to Include in a Professional Business FAI Report

Core sections of a Business FAI Report define identity, inspection data, nonconformities, corrective actions, approvals, and traceability for audit and contractual purposes.

Identification

Inspection Data

Measurement records, gauges used, environmental conditions, sampling plan, acceptance criteria, test equipment calibration references, and raw measurement values with units and tolerances.

Material & Certification

Material batch numbers, certificates of conformity, heat treat records, coating specifications, and supplier material test reports that support conformance claims.

Nonconformance

Detailed description of deviations, photos or diagrams, severity classification, root-cause notes, and immediate containment actions taken by the supplier or inspector.

Disposition & Actions

Disposition decision (accept/rework/reject), corrective action requests, responsible party, target completion dates, and verification acceptance steps upon remediation.

Common Mistakes to Avoid When Preparing an FAI

  • Incomplete identification: missing part revision, drawing numbers, or purchase order can prevent proper traceability and delay approvals.
  • Poor measurement documentation: omitting units, gauge IDs, or calibration references undermines inspection validity and can lead to repeat audits.
  • Unclear nonconformance descriptions: subjective language or missing photos forces rework and slows corrective action resolution.
  • Unsigned approvals or inconsistent signatures between paper and electronic records create acceptance disputes and may invalidate contractual acceptance.

Consequences of an Incorrect or Incomplete FAI Report

Contract Rejection: Shipment refusal, rework costs
Production Delays: Line stoppage, expedited fixes
Financial Penalties: Liquidated damages or chargebacks
Warranty Exposure: Extended claims or recalls
Regulatory Noncompliance: Industry fines or audits
Supplier Removal: Loss of approved supplier status
