Practical Practices to Improve Accuracy and Speed

Adopt these practices to improve accuracy, reduce cycle time, and maintain compliance when using the Business Fairview Document.

Use standardized templates consistently across teams
Maintain one authoritative template for the Business Fairview Document, manage versions centrally, and update clauses through controlled change requests. This prevents regional variations and reduces review time while preserving legally required language.
Pre-fill known fields to reduce errors
Where permissible, automatically populate party names, addresses, and tax identification fields from trusted corporate records. Pre-filling minimizes manual entry errors, accelerates completion, and lowers risk of backup withholding or payer rejections.
Require strong signer authentication for external signers
Use multi-factor, SMS codes, or knowledge-based verification for high-risk transactions. Strong authentication increases signer attribution confidence and supports compliance with industry rules such as HIPAA or 21 CFR Part 11 where applicable.
Maintain complete audit trails and records
Capture timestamps, IP addresses, and action logs for each signing event. Store signed PDFs alongside audit certificates and access controls to ensure defensible records in disputes and to satisfy regulatory retention obligations.
