What the Business Figures Document Is and When It’s Used

The Business Figures Document is a structured financial summary that records key monetary items such as revenues, expenses, assets, liabilities, and selected performance metrics for a business period. Organizations use it for internal reporting, lender or investor review, budgeting, audit support, and to populate formal filings. The document typically consolidates source schedules, reconciliations, and explanatory notes so reviewers can verify figures quickly. When shared electronically it should include an audit trail and clear signer attribution to preserve evidentiary value under U.S. e-signature laws.

Why a Clear Business Figures Document Matters

A precise Business Figures Document reduces misinterpretation, supports regulatory compliance, and creates an auditable record for financial decisions; it helps lenders, auditors, and management rely on a single source of truth with verifiable signatory evidence.

Why a Clear Business Figures Document Matters

Who Typically Prepares and Reviews This Document

Typical creators and reviewers vary by organization size and purpose; responsibilities focus on accuracy, authorization, and distribution.

  • CFOs and finance teams preparing reconciled figures for lenders, auditors, or board review.
  • External accountants or auditors validating totals, supporting schedules, and checking compliance.
  • Lenders, investors, and prospective buyers who use figures to underwrite credit or value the business.

Assign roles early—preparer, reviewer, approver, and recipient—to speed approvals and reduce rework.

Essential Elements to Include in a Professional Business Figures Document

A complete document organizes figures, supporting schedules, signatory fields, and an audit trail so recipients can verify amounts and provenance without recreating workpapers.

Summary Page

A concise one-page financial snapshot that lists totals for revenue, gross profit, operating expenses, net income, and cash balance with clear period labels and currency units to orient reviewers immediately.

Detailed Schedules

Supporting schedules itemize revenue sources, expense categories, fixed asset rollforwards, and liability reconciliations so each summary line can be traced back to transaction-level detail and source documents.

Assumptions

A short section listing accounting policies, recognition rules, and estimation methods that affect reported figures to reduce ambiguity during review or audit.

Signer Blocks

Designated signature areas for preparer, reviewer, and approver including printed name, title, date, and an electronic signature field with authentication instructions to establish attribution.

Change Log

A revision history that records edits, who made them, and timestamps so users can track updates and reconcile versions during due diligence or regulatory requests.

Audit Trail

Embedded metadata or a detachable certificate showing timestamps, IP addresses, and actions taken during signing to support admissibility under ESIGN (15 U.S.C. §7001) and UETA.
