Best practices for accurate and efficient completion

Best practices to prepare, review, and file Business Form 25 to reduce errors and support enforceability.

Verify signatory authority
Confirm each signer's authority to bind the entity. For corporations, obtain board resolutions or officer certificates if execution authority is limited; document delegation in writing to avoid later disputes.
Use precise legal names
Enter exact registered names for individuals and entities; include DBA only as supplemental. Mismatched names can create tax reporting errors and delay agency acceptance.
Validate dates and amounts
Use MM/DD/YYYY for dates and spell out numeric amounts in addition to figures where applicable to reduce ambiguity and support enforceability under state contract rules.
Maintain audit trail and copies
Retain signed originals or certified copies, record who received filings, and keep electronic audit trails including timestamps, IP addresses, and authentication evidence for compliance.
