What Business Info Panels Are and when they’re used

Business Info Panels are standardized documents that collect key corporate details—legal name, tax identification, registered agent, business address, authorized signers and other baseline data—used by vendors, financial institutions, regulators and counterparties to verify an entity. They streamline intake by gathering uniform fields that support onboarding, contracting, payment setup and compliance checks. A well-constructed Business Info Panel reduces back-and-forth, helps match records to tax and banking systems, and creates a clear audit trail when retained with signatures or electronic evidence.

Why a clear Business Info Panel matters

A precise Business Info Panel cuts administrative friction, reduces errors that trigger withholding or contract delays, and supports auditability for tax, banking and compliance reviews.

Why a clear Business Info Panel matters

Common users and roles that complete Business Info Panels

Business Info Panels are completed at different times by different roles depending on the workflow.

  • Finance teams initiating vendor payments and W-9 collection; they need certified TIN and remit addresses.
  • Legal or contracts staff preparing agreements and verifying authorized signatories and governing law.
  • Sales or account managers onboarding customers and collecting billing and contact details.

Ensure the person completing the panel has authority to attest to the accuracy of the information and to bind the entity where required.

Who can sign and attest

Owner / CEO

An owner, chief executive, or other officer typically has authority to sign Business Info Panels and attest to corporate facts. Where a signature attests to legal formation, confirm the signer is authorized under the company’s articles, bylaws, or operating agreement.

Authorized Agent

A delegated officer, controller, or registered agent may sign if accompanied by an authorization document or routing that documents the delegation. Keep a copy of the delegation to support future audits.

Core components of a professional Business Info Panel

A complete panel balances identity, tax, contact, and authorization details so third parties can onboard the business without repeated follow-up.

Legal Name

Exact corporate or LLC name as registered with the state and IRS; matching public records avoids TIN mismatches.

DBA / Trade Name

Any trade or doing-business-as names used by the company; include registration jurisdiction where applicable to prevent payment routing errors.

EIN / TIN

Employer Identification Number or Taxpayer Identification Number as issued by the IRS; mismatches can trigger 24% backup withholding.

Registered Agent

Name and address of the registered agent for service of process; required for formal legal notices and many filings.

Business Address

Primary street address including city, state, and ZIP; P.O. boxes are often insufficient for legal service or banking verification.

Authorized Signer

Name, title, and contact for the person authorized to sign contracts and attestations on the company’s behalf.

Step-by-step: completing a Business Info Panel

Follow these sequential actions to populate and verify the panel before submission.

  • 01
Collect Documents: Gather formation papers and EIN confirmation.
  • 02
Enter Core Fields: Populate name, EIN, address and DBA.
  • 03
Verify Authority: Attach delegation or resolution if signer is not an officer.
  • 04
Sign and Timestamp: Obtain signature and record date and authentication.

Configuring an online panel workflow

Set up roles, fields, and verifications to minimize manual review and speed processing.

Field Configuration
Required Fields Make legal name, EIN, and signer required
Conditional Fields Show DBA only when checkbox selected

  • File Formats: PDF, DOCX, and searchable PDFs supported

Saving, exporting and accompanying documents

Finalize and preserve panels in standard formats and package supporting documents for audits or downstream systems.

Download Formats

Export signed panels as PDF/A for long-term preservation and as DOCX for editable templates when retention of an editable copy is needed.

Supporting Documents

Attach formation documents, EIN confirmation letters, and authority delegations to the signed panel to prevent follow-up requests.

Storage Options

Store in a secure DMS with versioning and access controls; keep audit logs accessible for compliance reviews.

Record Export

Include an audit trail file with every export showing timestamps, signer authentication, and event history.

Practical tips for accurate Business Info Panels

Use consistent processes and checks to reduce downstream review and compliance risk.

Pre-Validate Information
Cross-check legal name, EIN and registered agent details against state registry and IRS confirmation letters before sending the panel for signature.
Limit Required Fields
Only require fields necessary for the specific transaction to reduce signer drop-off and data-entry errors.
Maintain Delegations
Keep a copy of corporate resolutions, meeting minutes, or agent authorizations that show the signer’s authority for easy production during audits.
Preserve the Audit Trail
Retain eSignature audit records and attachments in a tamper-evident format to satisfy ESIGN/UETA record reproduction requirements.

Frequent mistakes to avoid

  • Using a trade name instead of the registered legal name, causing bank or IRS mismatches and payment delays.
  • Omitting EIN or entering an incorrect TIN, which can trigger 24% backup withholding for payments.
  • Allowing an unauthorized employee to sign without documented delegation, exposing the organization to contract disputes.
  • Failing to retain the audit trail or attachments, complicating later compliance or audit responses.

Immediate risks and potential penalties

I-9 Penalties: $281–$2,789 per violation
Contract Disputes: Damages and rescission risk
