Common mistakes that delay acceptance

  • Entering a mismatched legal name or abbreviated EIN that does not match IRS records, triggering verification failure and delays.
  • Failing to attach required supporting documents such as a current W-9 or voided check, causing accounts payable to withhold setup.
  • Using informal signatures instead of documented authorized signatory records, which raises questions about authority to bind the entity.
  • Omitting remittance or banking details or providing incorrect routing numbers, leading to failed payments and reconciliation issues.

Potential penalties and compliance risks from incorrect submissions

1099 Filing Penalties: $60–$330 per form depending on lateness
Intentional Disregard: $660+ per form, no maximum
Backup Withholding: 24% backup withholding for missing/incorrect TIN
I-9 Violations: $281–$2,789 per violation
Contractual Risk: Payments delayed; potential breach of service terms
