What the Business Information Package Is and when it’s used

A Business Information Package is a compiled set of forms and attachments used to collect a company’s identifying, tax, ownership, banking, insurance, and authorization details for onboarding, vendor setup, financing, or regulatory review. It typically combines a data worksheet, supporting documents (EIN letter, formation records, operating agreement), and signature blocks so recipient organizations can verify identity, tax status, and signing authority under applicable electronic signature laws such as the ESIGN Act (15 U.S.C. §7001) and state UETA statutes.

Why a standard Business Information Package matters

Standardizing information collection reduces errors, speeds verification, and creates a single source of truth for compliance, tax reporting, and payment setup while preserving a verifiable audit trail for later review.

Why a standard Business Information Package matters

Who typically completes or requests this package

Organizations and designated teams request the package to verify entities, authorize payments, and meet regulatory or contractual requirements.

  • Procurement and Accounts Payable teams — collect EINs, W-9s, bank routing, and insurance details to complete vendor setup and payment enrollment.
  • Legal and Compliance officers — confirm entity formation, ownership, and signing authority to reduce contract risk and support audits.
  • HR and Onboarding teams — gather employer identification, tax forms, and signatory authorization for contractor or payroll onboarding.

The package is used across many departments and industries whenever a formal verification record and retained audit trail are required.

Core components to include in a professional package

A complete Business Information Package groups essential data, evidence documents, certificates, and clear signature/authorization fields to enable fast validation and retention.

Entity Details

Legal business name, DBA, formation state, and entity type; exact names support tax reporting and contract enforcement.

Tax Information

EIN or SSN for sole proprietors, tax classification, and W-9 attachment ensure correct IRS reporting and backup withholding avoidance.

Ownership & Officers

Names and titles of owners, officers, or members with percent ownership or control to establish signing authority and conflict checks.

Banking & Payments

Bank name, routing and account numbers, and ACH authorization language to enable payments and fraud-prevention verification.

Insurance & Licenses

Relevant insurance certificates, professional licenses, and permit numbers to demonstrate compliance for regulated engagements.

Supporting Attachments

Formation document, operating agreement, EIN confirmation, and a government ID or notarized affidavit when higher assurance is required.

Security and compliance checkpoints to document

Encryption: TLS 1.2/1.3; AES-256 at rest
Audit Trail: Timestamps, IP, action log
Access Controls: Role-based permissions
HIPAA Controls: BAA required for PHI
21 CFR Part 11: Controls for FDA records
Certifications: SOC 2 Type II; ISO 27001

Step-by-step: completing the package

Follow a consistent sequence to collect, verify, and retain the Business Information Package to avoid processing delays.

  • 01
Gather Documents: Collect formation record, EIN letter, ID, insurance, and licenses.
  • 02
Complete Fields: Enter all required fields exactly and attach supporting files.
  • 03
Verify Data: Confirm names, TIN, and banking via verification checks.
  • 04

Typical submission and validation workflow

Most organizations follow a short workflow from package delivery to verification and onboarding; steps are designed to preserve a reproducible record.

  • Prepare Package: Assemble form and required attachments in a single PDF or template.
  • Place Fields: Add signature, date, and attachment points for submitter.
  • Choose eSubmission: Select electronic signing and authentication level for the signer.
  • Verify & Store: Check entries, capture audit trail, and archive per retention rules.

Recommended online workflow settings

Configure your digital workflow to balance signer friction and verification strength based on risk and regulatory requirements.

Field Configuration
Authentication Email link, SMS code, or KBA depending on risk
Conditional Fields Show additional fields when specific selections are made
Bulk Onboarding Use template + bulk send for high-volume vendor intake
Retention Store signed PDF plus audit trail for required period

Technical requirements and integrations for eSubmission

Confirm platform support for required file types, integrations, and compliance features before collecting packages at scale.

  • File formats: PDF, DOCX, and HTML accepted
  • Integrations: Salesforce, NetSuite, Google Workspace, MS 365
  • Security: SSO, SAML, and audit logs

Use integrations and automated routing to reduce manual steps while preserving auditability and secure storage.

Key timelines and processing expectations

Be aware of external filing dates and internal processing SLAs that affect payment, tax reporting, and record retention.

W-9 Provision:

Provide immediately upon payer request (IRS guidance)

1099-NEC Deadline:

Recipient and IRS: January 31 each year

I-9 Retention:

Retain 3 years from hire or 1 year post-termination (8 CFR §274a.2)

Internal SLA:

Vendor setup commonly completes in 5–10 business days

Notary/RON Records:

Audio-video and journals retained per state rules

Common mistakes that delay onboarding

  • Using a trade name instead of the exact legal entity name causes IRS mismatches and delayed payments when tax IDs do not align.
  • Failing to attach supporting documents such as the EIN confirmation letter or formation record forces manual follow-up and slows verification.
  • Entering an incorrect or incomplete banking routing/account number triggers payment failures and increases fraud risk for electronic transfers.
  • Permitting an unauthorized signer or missing a notarization requirement can render the package noncompliant for high-assurance use cases.

Short summary of penalties and legal risks

1099 Filing Penalties: From $60 to $330 per form
Intentional Disregard: $660+ per form, no cap
Backup Withholding: 24% withholding rate
I-9 Violations: $281–$2,789 per violation
Notarization Errors: May invalidate signatures
Data Breach Exposure: Regulatory fines and remediation costs
