What the Business Integrity Document Is

A Business Integrity Document is a formal attestation used by companies to disclose material information and certify compliance with anti-corruption, conflicts, sanctions, and ethics policies. It typically requires statements about ownership, conflicts of interest, compliance programs, prior investigations or sanctions, and affirmations that the signatory has authority to bind the organization. The document can serve as part of supplier onboarding, government contracting, joint-venture diligence, or periodic compliance attestations and is often retained as part of the contract record for audit and oversight purposes.

Why organizations use a Business Integrity Document

A clear, signed integrity attestation reduces procurement risk, documents due diligence, and creates an auditable record for compliance programs and regulators.

Why organizations use a Business Integrity Document

Who typically prepares and signs this document

The document is intended for the business entity rather than individual employees, and it should be signed by an authorized officer or compliance designee.

  • Procurement teams conducting vendor due diligence and contract acceptance.
  • Corporate compliance or legal departments verifying anti-corruption and sanctions controls.
  • External vendors, subcontractors, or joint-venture partners making formal attestations.

Signer Authentication Settings Use email plus optional SMS OTP or advanced authentication for higher assurance
Conditional Field Logic Show follow-up questions when a disclosure is affirmative to capture required detail
Approval Routing Auto-route to legal or compliance when flagged answers are present
Audit Trail Retention Record timestamps, IP, and authentication events for each signature

Where to send, submit, or file a completed attestaton

Decide recipients and archive locations before execution to ensure proof of delivery and ease of retrieval during audits.

  • Internal Archive: Store signed copy in your central contract repository
  • Regulatory Filings: File only if required by agency terms or grant conditions

  • Integrations: Connectors for CRM and cloud storage

Common timelines and recommended deadlines

Timing for submission is usually contract- or program-specific. Below are typical schedules used in procurement and compliance workflows.

Onboarding Submission Deadline:

Provide the signed attestation before contract award or as part of initial onboarding

Periodic Renewal:

Common practice is annual renewal or when material changes occur

Response to Inquiry:

Respond to compliance inquiries according to contract terms, often within 10–30 days

Record Retention Start:

Retention begins on the execution date and governs archival requirements

Consequences of incorrect or incomplete attestations

Practical tips for accurate, efficient completion

Follow these practices to reduce processing time, avoid rework, and maintain a reliable audit trail.

Use Exact Legal Names
Always enter the entity name as it appears on formation filings and avoid trade name abbreviations; mismatches complicate verification and payments.
Attach Verifying Documents
Include formation certificates, sanction-screening reports, and proof of authority to sign to speed review and reduce follow-up requests.
Enforce Required Fields
Use mandatory field validation and conditional logic to prevent incomplete responses and ensure respondents provide necessary detail.
Preserve the Audit Trail
Capture signer authentication, timestamps, IP addresses, and a copy of the final PDF for evidentiary purposes in audits and disputes.
