What a Business Letter of Accommodation is and when it’s used

A Business Letter of Accommodation is a formal, written document issued by a company or organization to confirm that a specific accommodation, concession, or arrangement has been granted to an individual or another entity. Examples include workplace adjustments for disability, temporary housing arrangements for clients, travel or venue accommodations for events, and vendor or partner operational exceptions. The letter documents the scope, duration, responsibilities, and any conditions tied to the accommodation so all parties have a clear, auditable record of the agreement.

Why documenting accommodations matters

A clear, written accommodation letter reduces misunderstandings, creates an auditable record, and protects both the business and recipient by describing expectations, duration, and responsibilities.

Why documenting accommodations matters

Who typically issues or receives a Business Letter of Accommodation

Organizations and individuals rely on this letter to formalize temporary or ongoing concessions and to preserve an evidentiary record for operations and compliance.

  • Human resources teams issuing workplace disability or schedule adjustments for employees.
  • Facilities or event teams documenting accommodations for guests, vendors, or contractors.
  • Vendors or partners confirming temporary operational or performance accommodations.
