What a Business MDF Request Is

A Business MDF Request is a formal submission by a channel partner or reseller seeking Market Development Funds (MDF) from a vendor to underwrite joint marketing, demand-generation, or sales enablement activities. The request documents the partner, proposed campaign, budget, objectives, timelines, expected deliverables, and measurement criteria. It serves as the basis for vendor approval, fund allocation, and post-campaign reconciliation. Properly completed requests reduce processing time, clarify responsibilities, and create an auditable record for compliance, finance, and reporting purposes across internal and external stakeholders.

Why a Clear MDF Request Matters

A structured Business MDF Request clarifies expectations, supports budget oversight, and creates a record for approvals and audits.

Why a Clear MDF Request Matters

Who Typically Submits and Reviews MDF Requests

Business MDF Requests are completed by partner marketing managers and reviewed by vendor channel managers and finance teams.

  • Partner marketing manager — prepares campaign plan, budget, and supporting documentation for vendor review.
  • Vendor channel manager — evaluates eligibility, alignment with channel objectives, and approves or requests revisions.
  • Finance or compliance reviewer — verifies budget coding, eligibility, and records for audit and tax reporting.

Clear role assignment in the request reduces back-and-forth and speeds approval and payment processing.

Essential Parts of a Professional Business MDF Request

A complete request groups project details, financials, approvals, measurement, and attachments so reviewers can assess eligibility and impact quickly.

Partner Info

Legal entity name, Tax ID (EIN or SSN as applicable), mailing address, and primary contact details for contracting and payment.

Campaign Summary

Plain-language description of objectives, target audience, channels, dates, and key deliverables so the vendor can assess alignment and eligibility.

Budget Breakdown

Line-item costs with unit prices, quantities, and totals; indicate which costs request vendor funding versus partner contribution.

Performance Metrics

Define measurable KPIs (leads, pipeline, MQLs, conversions) and the method and cadence for reporting outcomes.

Approvals

Signature blocks or e-signature fields for partner and vendor approvers, plus purchase order or contract reference if required.

Attachments

Supporting invoices, creative mockups, vendor quotes, and proof of spend to enable rapid verification and reimbursement.

Step-by-Step: Completing and Submitting an MDF Request

Follow these steps to prepare a complete request that speeds internal review and vendor approval.

  • 01
Prepare materials: Gather quotes, creative, and budget line items before starting the form.
  • 02
Complete fields: Fill every required field using the formats specified in the form instructions.
  • 03
Attach proof: Upload supporting invoices, estimates, and creative assets with clear filenames.
  • 04
Submit for approval: Send through the vendor portal or via designated email with required signatures attached.

Configuring an Online MDF Submission Workflow

If using an eSubmission platform, configure fields and routing to match your approval policies and audit requirements.

Field Configuration
Authentication Email + optional SMS code for signer verification
Field Types Use dropdowns for categories and date fields for MM/DD/YYYY
Routing Order Route to partner approver, finance, then vendor channel manager
Reminders Set automated reminders at 3 and 7 days for pending approvals

Where to Send or File a Completed Request

Different vendors use portals, email, or partner platforms to receive MDF requests. Confirm the vendor's required submission path.

  • Vendor Portal: Upload request and attachments to the vendor's partner portal for streamlined processing.
  • Email Submission: Send to the designated channel manager email with necessary approvals attached.
  • Contracting System: If required, route the request through the contracting or purchase order system for legal review.
  • Accounting: Provide a copy to finance for payment setup and budget reconciliation.

Technical Considerations for eSubmission and Signing

Ensure the chosen platform supports required field types, secure attachments, and an auditable signing trail before eSubmitting.

  • File formats: Accept PDF, DOCX, and image attachments
  • Integrations: Connectors for Salesforce and NetSuite streamline approvals
  • Authentication: Supports email, SMS, and optional KBA

Confirm vendor compatibility with your platform and verify that the eSignature audit trail, attachments, and access logs meet audit and finance requirements.

Contract Voidance: Unsigned approvals can be invalidated
Compliance Violations: HIPAA breaches risk penalties
