What the Business Mobility Application Is

Business Mobility Application is a standardized form organizations use to request and authorize mobile access, portable equipment, or remote work arrangements for employees, contractors, or corporate assets. It documents eligibility, technical and security requirements, assigned devices, and approval authorities. The application captures start and end dates, business justification, asset inventory, and any required approvals from IT, HR, or legal. It is used to create auditable records that support provisioning, asset management, and compliance with company policies and applicable U.S. laws.

Why a Formal Mobility Application Matters

Using a Business Mobility Application clarifies authorization, reduces asset loss, and documents security controls required for remote access. It creates a consistent approval record that supports audits and demonstrates compliance with U.S. electronic records and data-protection obligations.

Why a Formal Mobility Application Matters

Primary Users and Stakeholders

Typical users include IT administrators, HR managers, facilities staff, and authorized supervisors who manage mobility requests.

  • IT administrators — validate device compatibility, enforce security settings, and approve provisioning.
  • Human resources — confirm employment status, work eligibility, and policy acknowledgment prior to approval.
  • Managers or supervisors — justify business need, define term, and confirm asset return conditions.

External stakeholders such as vendors or clients may be named for temporary access and must meet security requirements.

Core Sections to Include in a Professional Application

Core sections in a Professional Business Mobility Application ensure consistent approvals, asset tracking, security controls, and legal compliance across stakeholders and systems.

Applicant Info

Collect full legal name, employee ID or contractor company name, contact information, business role, and supervisory approver. Accurate identification prevents provisioning errors and supports audit trails.

Device Details

Record device make, model, serial number, asset tag, ownership status, purchase date, and warranty information. Detailed device data aids inventory reconciliation, insurance claims, and security incident response.

Security Requirements

List required technical controls such as full-disk encryption, MDM enrollment, approved authentication methods, antivirus baseline, and acceptable use restrictions. These details drive conditional provisioning workflows.

Approval Workflow

Define reviewers and approvers in order, approval thresholds, SLA for response, and escalation paths. Clear workflow reduces delays and creates an auditable decision record.

Supporting Docs

Specify required attachments such as purchase receipts, insurance certificates, policy acknowledgments, and photos of asset condition. Standard naming conventions improve retrieval and filing accuracy.

Terms & Return

Include asset return conditions, acceptable wear and tear, liability allocation, termination process, and reporting obligations. Clear terms reduce disputes and support recovery of company property.

Step-by-Step: Completing the Application

Follow these sequential steps to complete the Business Mobility Application accurately and create an auditable approval record.

  • 01
Prepare Request: Identify user, device, business reason, and planned dates.
  • 02
Attach Documents: Include asset list, security checklist, and manager approval.
  • 03
Submit for Review: Route to IT, HR, and legal per company workflow.
  • 04
Record Decision: Capture approvals, set provisioning tasks, and log disposition.

Configure Workflow Settings for Automation

Configure automated workflow settings to match organizational approval order, authentication level, and integration targets for provisioning and record storage.

Field Setting | Configuration
Authentication Email link | SMS OTP or KBA
Approval Order Sequential | IT → HR → Legal
Document Retention Archive | PDF/A with audit log
Integration Asset DB | Sync to inventory system

How eSubmission and Routing Typically Work

Typical eSubmission workflow for the Business Mobility Application moves documents from requestor to approvers and into asset management systems for provisioning and recordkeeping.

  • Create Request: Prepare form and attach supporting documents.
  • Assign Reviewers: Define reviewer order and approval thresholds.
  • Send for Signature: Email or secure link to signers.
  • Archive Record: Store signed copy with audit metadata.

Platform and Integration Requirements

Ensure platform meets technical and compliance needs for eSignature, secure storage, and integration with asset management or HR systems.

  • Supported Formats: PDF, DOCX, HTML, XLSX
  • Integrations: Salesforce, NetSuite, Google Workspace, Box
  • Authentication Options: Email, SMS, SSO, MFA

Security and Compliance Controls to Document

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Certifications: SOC 2 Type II; ISO 27001 compliant
HIPAA: HIPAA-compliant; BAA required for PHI
Audit Trail: Robust timestamps, IP logs, version history
Authentication: Supports MFA and SSO for signer authentication
Regulatory Fit: 21 CFR Part 11 readiness where required

Key Risks and Potential Consequences

Unauthorized Access: Security breach and liability exposure
Incorrect Identifiers: Delays, provisioning errors, possible withholding
Missing Approvals: Invalid authorization, legal disputes
HIPAA Violations: Potential fines and corrective action
Tax/Payroll Issues: Withholding errors, audit risk
Asset Loss: Insurance denial, replacement costs

Common Mistakes to Avoid

  • Submitting incomplete or inconsistent identification fields (name, ID, TIN) is a frequent cause of processing delays and can trigger requests for corrected forms.
  • Using informal names, abbreviations, or nicknames instead of legal names leads to verification failures and may require re-execution of the application.
  • Failing to specify required security controls or enrollment (MDM, encryption) prevents automated provisioning and leaves devices noncompliant with corporate policies.
  • Uploading low-resolution scans, misnamed files, or separate pages that should be combined reduces auditability and slows review cycles.

Practical Tips for Faster, Accurate Completion

Practical techniques to reduce processing time and ensure the Business Mobility Application is complete, auditable, and compliant.

Verify identities and employment status before submission
Require government ID verification, confirm employee ID or contractor company details, and capture consent to electronic records. Verifying at intake prevents downstream authentication failures and avoids rework during approvals and provisioning.
Use standardized device data fields and naming conventions
Populate serial number, asset tag, make/model, and warranty fields consistently. Enforce naming conventions for file attachments and use templates to reduce errors. Consistent data enables automated inventory reconciliation and faster incident response.
Adopt strong signer authentication and logging
Apply two-factor authentication for access to sensitive systems, require MDM enrollment prior to provisioning, and log all sign-in events. Strong authentication reduces risk and supports compliance with HIPAA, 21 CFR Part 11, or internal security policies.
Maintain version control and immutable audit trails
Record revision history, signer attribution, and timestamps in an immutable audit trail. Store signed PDFs with metadata, and preserve accessible copies to meet ESIGN retention and reproduction requirements for disputes or compliance reviews.

Real-World Examples

Two practical examples show how organizations apply the Business Mobility Application for device provisioning, remote access, and compliance tracking.

Real Estate Lease Agent

Martin Properties used the Business Mobility Application to provision mobile devices for leasing agents working remotely, capturing approvals and asset tags electronically.

  • Reduced in-person handoffs and improved tracking.
  • The team reported faster returns and cleaner audit trails, enabling property managers to assign devices, enforce security settings, confirm returns without on-site meetings, and produce compliant records for leasing audits and insurance claims.

Healthcare Clinic

Fertility Centers of Illinois adopted the application to collect signed device acceptance and remote access approvals from clinicians and contractors.

  • Ensured HIPAA controls and auditability.
  • They achieved compliant remote signature capture, integrated approvals with their EHR and asset inventory, and maintained audit trails for regulatory review. The API integration reduced manual entry and supported secure, repeatable onboarding workflows.
