Practical Tips for Accurate, Efficient Completion

Apply consistent processes and verification checks to reduce rework and legal risk when distributing the packet.

Use standardized templates
Maintain a single approved packet template with version control. Templates reduce drafting errors and ensure all required fields are present before sending.
Validate signer authority
Require corporate resolutions or POAs for business signers. Verifying authority upfront prevents later disputes over enforceability.
Select proper authentication
Match authentication strength to risk. Use SMS, KBA, or multi-factor methods for high-value transactions or regulated industries.
Store executed records securely
Keep signed packets with audit trails, access controls, and encrypted backups to meet internal and regulatory retention obligations.
