Core sections to include for a professional Business Partner Expectations document

Essential sections of Business Partner Expectations clarify scope, service levels, compliance obligations, reporting cadence, confidentiality, and remedies for non-performance in concise, enforceable language.

Scope

Describe specific services, deliverables, excluded tasks, and success criteria, include measurable metrics, examples, and reporting thresholds to reduce interpretation disputes and support objective acceptance testing.

Service Levels

Define response, resolution, and uptime targets where applicable. Tie penalties or credits to missed targets and specify measurement windows, time zones, and business-day definitions for clarity.

Reporting

Specify report types, delivery frequency, recipients, data fields, and format. Require timestamped logs or system exports when performance claims depend on platform metrics, and retention periods for each report.

Confidentiality

Identify protected information categories, permitted disclosures, and minimum handling standards. When PHI is involved, require HIPAA-compliant safeguards and a signed BAA where applicable and specify breach notification timelines.

Remedies

State corrective action plans, suspension triggers, financial remedies, and termination rights. Provide a dispute resolution process and escalation contacts including timelines for remedial steps.

Audit Rights

Define rights to inspect records, run audits, or request evidence of compliance. Include notice periods, confidentiality protections, acceptable proof formats such as logs or certified reports, and frequency limits.

Invalid Signature: Execution defects may void agreement.

Common preparation mistakes to avoid

  • Vague deliverables and no measurable acceptance criteria, leading to frequent disputes and inconsistent performance measurement across teams.
  • Missing signature authority checks often cause invalid execution or require re-signing, which delays approvals and project timelines.
  • Failure to specify data handling or PHI protections can create HIPAA compliance gaps and legal exposure.
