What the Business PEI Template Is and when to use it

The Business PEI Template is a standardized form used to collect core entity and principal information for commercial relationships, vendor onboarding, regulatory filings, and internal records. Typical contents include legal entity name, employer identification number (EIN), formation state, authorized signatories, ownership percentages, tax classifications, banking and remittance details, and attachments such as formation documents and proof of authority. The template is designed for consistent data capture, audit-ready recordkeeping, and compatibility with digital signing and workflow tools, while allowing state-specific notarization or witness sections where required.

Why a consistent Business PEI Template matters legally and operationally

A consistent template reduces administrative errors, supports regulatory compliance, and creates a durable record of entity identity and signer authority. Electronic execution is generally valid under the federal ESIGN Act (15 U.S.C. ch. 96) and state UETA rules; exceptions and state-specific authentication or notarization requirements may still apply.

Why a consistent Business PEI Template matters legally and operationally

Typical users and how different teams rely on the template

Multiple departments use the Business PEI Template to verify commercial counterparties and maintain records.

  • Procurement and vendor management teams use it to on-board suppliers, verify banking and tax details, and speed contract execution.
  • Legal and compliance groups use it to capture signatory authority, indemnity or insurance details, and to attach corporate documents for review.
  • Finance and accounts payable use it to validate EINs, remittance details, and backup withholding triggers before payments are issued.

Tailor the template fields and approval steps to match the needs of procurement, legal, finance, and compliance teams.

Who should complete and sign the Business PEI Template

Authorized Officer

The authorized officer (CEO, CFO, managing member) must sign where the template requires corporate authorization. Their signature confirms the entity name, EIN accuracy, and that the signer has authority to bind the business under its governing documents and state law.

Compliance or Legal

A compliance or legal reviewer should complete attestations and attach formation records or a certificate of good standing. This reviewer documents internal approvals and ensures the template meets any industry-specific regulatory requirements before execution.
