What a Business Preference Sheet Is and When It’s Used

A Business Preference Sheet is a structured form used by organizations to record supplier, payment, and administrative preferences for a business relationship. It typically captures preferred vendor contacts, payment terms, invoice routing, tax identifiers, and document delivery methods so procurement, accounting, and legal teams can act consistently. The sheet can be included with proposals, supplier onboarding packets, or contract exhibits to reduce ambiguity about billing, tax reporting, and communications. Completing it accurately helps streamline vendor setup and reduces downstream reconciliation and payment delays.

Why a Business Preference Sheet Matters

A clear Business Preference Sheet reduces administrative friction by standardizing vendor data, accelerating invoice processing, and improving tax reporting accuracy across departments.

Why a Business Preference Sheet Matters

Who Typically Prepares and Uses This Sheet

External vendors complete or confirm preferences when requested to ensure payments and notices follow the buyer’s required process.

  • Procurement teams manage supplier setup and verify terms before purchase orders are issued.
  • Accounts payable uses the sheet to route invoices and confirm payment instructions.
  • Contract administrators store the sheet with agreements for compliance and audit purposes.

Essential Sections to Include on a Professional Business Preference Sheet

A comprehensive sheet groups administrative and legal details into repeatable sections so teams can locate vendor data quickly and reduce exceptions during processing.

Vendor Identity

Registered legal name, DBA, and employer identification number for tax and contract matching; include DBA only if used on invoices.

Primary Contacts

Names, roles, direct phone numbers, and emails for procurement, billing, and escalation contacts to avoid routing delays.

Payment Terms

Preferred payment method, bank ACH details or remit-to address, net terms, and early-payment discounts if applicable.

Tax Information

W-9 or equivalent tax form status, backup withholding indicator, and required TIN vs name validation instructions.

Invoicing Rules

Invoice submission address, required fields, PO handling, and any electronic invoicing formats or portal details.

Common Errors to Avoid When Preparing the Sheet

  • Entering a DBA instead of the registered legal name, which can cause tax mismatches and payment delays.
  • Providing incomplete bank details or failing to indicate currency for international payments, leading to returned transfers.
  • Omitting the authorized signer’s title, which can result in rejection by accounts payable or legal.
  • Not storing a signed copy in a central repository, making audits and reconciliations more time consuming.

Risks and Potential Consequences of Incorrect Information

Delayed Payment: Invoices can be withheld
Tax Withholding: Backup withholding may apply
