What Business Print Data is and why it matters

Business Print Data is the structured record of specifications, contact details, approvals, and delivery instructions used to produce printed materials for a company. It typically combines business identification, print quantities, color and paper specifications, proof approval, billing details, and a signature block that confirms authorization. Accurate Business Print Data reduces production errors, shortens turnaround times, and creates an auditable trail for disputes or regulatory review. When executed electronically, these records can meet U.S. legal standards for electronic signatures under ESIGN and state UETA laws, subject to indicated exceptions.

Why a clear Business Print Data record improves outcomes

A complete Business Print Data package clarifies responsibilities, prevents costly reprints, and documents approvals in an auditable way.

Why a clear Business Print Data record improves outcomes

Who typically creates and approves Business Print Data

The document is used by internal teams and external partners who control design, procurement, and delivery of printed materials.

  • Marketing and creative teams — prepare specifications, proofs, branding approvals, and delivery notes for vendors.
  • Procurement and operations — confirm quantities, cost centers, vendor selection, and payment authorization for the print order.
  • Legal, compliance, or records teams — review terms, retention requirements, and approvals for regulated or consumer-facing materials.

Clear role definitions help routing, approval sequencing, and legal accountability when disputes or compliance checks arise.

Step-by-step: Completing a Business Print Data record

Follow a consistent sequence to reduce rework and capture approvals for production.

  • 01
Prepare details: Gather artwork files, specifications, and billing codes before opening the form.
  • 02
Enter fields: Complete contact, address, print specs, quantity, and delivery instructions.
  • 03
Route for approval: Send to design, procurement, and authorized signer in clear order for review.
  • 04
Record final sign-off: Capture signature and date; retain the signed record in the project folder.

How electronic execution fits into the print workflow

Electronic completion and e-signatures speed approvals and preserve an audit trail for every stage of the print process.

  • Upload: Sender uploads the Business Print Data and attaches artwork files.
  • Place fields: Assign filling fields and signature blocks to named approvers.
  • Notify signers: System sends email or link; signer authenticates as required.
  • Capture audit: Signed copy and audit trail (IP, timestamp) are stored after completion.

Typical digital workflow settings for Business Print Data

Configure workflow elements to match your approval chain and security needs before sending for signature.

Field Configuration
Authentication Email-only, SMS code, or higher-strength methods as required
Field Types Text, date MM/DD/YYYY, checkbox, dropdown, and signature fields
Bulk Send Enable when sending identical print orders to many recipients
Audit Trail Enable IP, timestamp, and action logging for compliance

Integrations and platform requirements for online completion

Business Print Data benefits from integrations with ERP, CRM, and document storage systems to automate ordering and archiving.

  • CRM Integration: Connects to Salesforce or Dynamics to pull contact and billing data
  • Cloud Storage: Supports Box, Google Drive, and Egnyte for artwork and proofs
  • File Formats: Accepts PDF, DOCX, and high-resolution image files

Common mistakes that cause reprints or delays

  • Incomplete artwork files or wrong color profiles sent to the printer leading to incorrect press output and wasted runs.
  • Vague specifications such as 'high quality paper' without numeric weight or stock name cause vendor uncertainty and delays.
  • Missing authorized signature or incorrect signer identity resulting in production hold or a dispute over approval authority.
  • Failing to version documents properly so vendors receive outdated proofs and print the wrong edition of materials.
