What the Business Process AI-EI Template Is

The Business Process AI-EI Template is a standardized document used to describe, approve, and govern business processes that incorporate artificial intelligence or automated decisioning elements. It captures scope, inputs and outputs, decision logic, data sources, risk controls, monitoring metrics, and stakeholder responsibilities. The template creates a consistent, auditable record for internal governance, vendor onboarding, and regulatory review, and it clarifies retention rules, change control, and escalation paths so organizations can demonstrate process transparency and evidence of controls during audits or assessments.

Why this Template Matters for Governance and Compliance

The Business Process AI-EI Template standardizes documentation of AI-enabled workflows so decision criteria, controls, and approvals are explicit. It supports auditability, consistent handoffs, and clear assignment of responsibilities without implying certification or vendor endorsement.

Why this Template Matters for Governance and Compliance

Who Typically Completes and Approves This Template

Organizations and roles that typically complete or approve this template include internal process owners, compliance teams, and vendor account managers.

  • Real Estate teams (G2: 15) use it for lease automation, tenant intake, and closing workflows that include automated decision steps.
  • Healthcare providers (G2: 11) require HIPAA-aligned controls and explicit consent language when AI processes patient data.
  • Financial services and legal teams (G2: 9 and 6) use it for approvals, audit trails, and vendor oversight in regulated workflows.

The template supports cross-functional review and creates a single source of truth for AI-related process documentation.

Core Sections to Include in a Professional Template

A professional Business Process AI-EI Template organizes information so reviewers can assess scope, decisioning, controls, metrics, roles, and approvals at a glance.

Process Scope

Define boundaries, included systems, business objectives, entry and exit criteria, exceptions, and interfaces with other workflows to reduce ambiguity during audits and operational handoffs.

Decision Logic

Describe algorithms, model versions, rulesets, threshold values, fallback logic, and the provenance of training data so reviewers can trace outputs to inputs and reasoning.

Data Inputs

List data sources, classification levels, retention requirements, field mappings, expected formats, and any ETL or transformation steps applied before model consumption.

Controls & Monitoring

Document validation tests, performance baselines, bias and fairness checks, logging thresholds, alerting criteria, and monitoring frequency required to maintain compliance and operational stability.

Approval Matrix

Identify approvers, authority limits, required artifacts for sign-off, review cadence, and any role-based segregation of duties needed before production use.

Audit Record

Specify required audit trail items: timestamps, signer identities, change history, versioned attachments, and retention schedules to meet internal and regulatory recordkeeping obligations.

Follow these steps to complete the Business Process AI-EI Template and obtain required approvals before deployment.

  • 01
Draft: Describe process scope, roles, and inputs/outputs in plain language.
  • 02
Decision Logic: Record algorithms, thresholds, training data sources, and fallback procedures.
  • 03
Controls: List validation tests, monitoring metrics, and escalation paths for incidents.

  • Upload Document: Attach the template and supporting exhibits in PDF or DOCX format.
  • Assign Reviewers: Add reviewers, set roles, and define approval order.
  • Authenticate Signers: Choose authentication level: email link, SMS code, or more advanced methods when required.
  • Complete Signing: Signers approve, timestamp is recorded, and final PDF plus audit trail are produced.

Integration and Platform Considerations

Ensure compatible platforms and integrations are configured before eSubmission or automation; verify user accounts, permissions, and API access for any connectors used in routing.

  • Integrations: Salesforce, NetSuite, Microsoft 365, and Google Workspace are commonly integrated.
  • File Formats: PDF, DOCX, and XLSX formats are accepted for templates and exports.
  • Authentication: Support for SSO and two-factor signer verification improves identity assurance.

Proper platform setup reduces signer friction and ensures auditability under ESIGN and UETA. Maintain encryption, retention policies, and access logs to support legal defensibility and satisfy industry-specific compliance such as HIPAA or 21 CFR Part 11 where applicable.

Security and Compliance Snapshot

Encryption in Transit: TLS 1.2 and 1.3 encryption in transit
Encryption at Rest: AES-256 encryption for data at rest
