What the Business Process System Walkthrough Is

A Business Process System Walkthrough documents a stepwise review of an operational process, its roles, inputs, controls, and expected outputs. It maps who does what, when, and how, and records evidence used to validate system behavior or compliance. Organizations use walkthroughs to onboard teams, support audits, refine handoffs, and reduce process risk by creating a single reference for execution, review, and continuous improvement.

Why a Walkthrough Matters for Governance and Clarity

A clear walkthrough reduces ambiguity across teams, surfaces failure points, and creates traceable steps for audits and remediation. It supports compliance with ESIGN/UETA expectations for recordkeeping when processes generate or manage signed electronic records.

Why a Walkthrough Matters for Governance and Clarity

Who Typically Prepares and Reviews This Walkthrough

The walkthrough is prepared by process owners and reviewed by compliance, IT, and affected business units before issuance.

  • Process owners and operations managers who maintain daily execution and KPIs.
  • IT teams responsible for automation, integrations, and data exports.
  • Compliance, internal audit, and legal reviewers who validate controls.

Final approval usually rests with the department head and any central compliance or audit team that oversees process controls.

Step-by-step: Complete a Walkthrough Record

Follow these four core steps to produce a usable, auditable walkthrough that stakeholders can rely on.

  • 01
Gather Inputs: Collect templates, system screens, sample records, and existing SOPs for the process.
  • 02
Map Roles: List every actor, their responsibilities, and decision points in sequence.
  • 03
Document Steps: Describe actions, triggers, and system artifacts for each step, including expected outputs.
  • 04
Validate: Review with stakeholders, record approvals, and store the signed walkthrough for audits.

Configure the Walkthrough as an Online Workflow

When converting the walkthrough to a digital workflow, configure fields and authentication so reviewers can complete tasks without friction.

Field Configuration
Template Create a reusable template with locked core fields for version control
Conditional Fields Enable show/hide logic for branch-specific steps or exceptions
Authentication Require email and optional SMS or SSO for approvers
Integrations Export signed records to cloud storage or ticketing systems

Delivery, Signing, and Integration Options

Choose distribution and signing options that match your security and audit requirements.

  • Delivery Channels: Email invites, shared signing links, or embedded signing in an intranet portal
  • Integrations: Connectors for Salesforce, Microsoft 365, NetSuite, Google Workspace, Box, Procore
  • File Formats: PDF, DOCX, and fillable forms for archival and downstream processing

Where to Send or File the Completed Walkthrough

Routing depends on organization structure: combine local retention with centralized archival to meet audit and legal requirements.

  • Operational Repository: Store the active signed copy in the team’s document management system for daily reference.
  • Compliance Archive: Send a signed PDF and audit trail to the central compliance archive for long-term retention.
  • External Parties: Provide signed copies to auditors, regulators, or vendors when contractually required.
  • Backup Storage: Maintain an immutable backup (read-only) in secure cloud storage with access logging.

Core Elements Included in a Professional Walkthrough

A complete walkthrough combines descriptive, procedural, and evidentiary elements so reviewers can reproduce and verify process execution.

Purpose

Concise statement of why the process exists, expected outcomes, and alignment to business objectives or controls.

Scope

Boundaries, systems, and transactions included — plus explicit exclusions to prevent misinterpretation during audits.

Roles

List of actors, their responsibilities, escalation points, and authority levels required at decision nodes.

Stepwise Procedure

Sequential actions with inputs, outputs, system screens, and sample record examples for reproducibility.

Controls

Checks, approvals, and reconciliations embedded in the process with keys to evidence and responsible parties.

Evidence

Required artifacts such as signed records, logs, screenshots, or IDs used to validate that the process executed as documented.

Download, Export, and Supporting Documents

Include clear instructions for exporting the walkthrough and attaching supporting exhibits to ensure a complete audit package.

Export Options

Provide signed PDFs with embedded audit trails (timestamps, IPs) and also export DOCX for editable copies if required.

Supporting Exhibits

Attach system screenshots, sample transaction records, and checklist templates referenced by the walkthrough steps.

Storage Format

Archive signed copies in PDF/A where long-term preservation is required and keep metadata separately for search.

Access Controls

Assign role-based permissions to restrict edits and enforce read-only access for archived, auditable copies.

Security and Compliance Basics to Record

Encryption (Transit): TLS 1.2/1.3 required
Encryption (At Rest): AES-256 standard
Certifications: SOC 2 Type II, ISO 27001
HIPAA: BAA required for PHI
21 CFR Part 11: Compliant controls available
Audit Trail: Tamper-evident timestamps and logs

Common Preparation Pitfalls

  • Incomplete step descriptions that prevent reproducibility during audits.
  • Mismatched names or dates in sign-off fields that delay legal verification.
  • Missing system artifacts or screenshots needed to validate a control.
  • Overly broad scope that hides exceptions and conditional branches.

Risks of an Incorrect or Incomplete Walkthrough

Operational Risk: Process failures and service interruptions
Regulatory Fines: Penalties if records breach HIPAA or tax rules
Audit Findings: Material weaknesses identified by auditors
Contractual Exposure: Vendor or customer disputes
Data Integrity: Lost or unverified records
Legal Challenge: Document invalidation in disputes

Typical Timelines and Review Windows

Establish deadlines for each stage: drafting, review, approval, implementation, and archival so responsibilities and SLAs are clear.

Drafting Window:

2–5 business days to gather inputs

Peer Review:

3–7 business days depending on complexity

Executive Approval:

Up to 10 business days for cross-functional sign-off

Implementation:

Rollout scheduled after approvals, typically 1–4 weeks

Archival:

Signed record stored within 3 business days of final sign-off
