What the Business Ratio Letter Is and When It’s Used

A Business Ratio Letter is a formal document that summarizes key financial ratios and metrics for a company to support credit requests, lease negotiations, vendor terms, or regulatory reviews. It typically presents ratios such as current, quick, debt-to-equity, and gross margin, plus brief explanations of underlying assumptions and the fiscal period covered. Lenders, underwriters, landlords, or counterparties use the letter to assess liquidity, solvency, and operational efficiency without requiring full financial statements, making it a focused snapshot for decision makers.

Why a Clear Business Ratio Letter Matters

A concise Business Ratio Letter speeds underwriting and clarifies financial health, reducing requests for supplemental information and enabling faster credit or contract decisions.

Why a Clear Business Ratio Letter Matters

Typical Users and Recipients

Parties who prepare or request Business Ratio Letters vary by context; the bullets list common roles.

  • Finance teams and CFOs preparing a lender package or covenant compliance summary.
  • Loan officers and underwriters evaluating creditworthiness for term loans, lines of credit, or lease approvals.
  • Vendors or landlords requiring abbreviated financial verification before granting trade credit or occupancy agreements.

Tailor the letter’s depth and attachments to the recipient: lenders expect different detail than trade creditors or landlords.

Essential Sections to Include in a Professional Letter

A Business Ratio Letter should be structured, transparent, and documented so reviewers can validate figures quickly. Include clear labels, time periods, and assumptions.

Executive Summary

One-paragraph summary stating purpose, reporting period, and who prepared the letter, providing context at a glance for reviewers.

Ratio Table

Tabulated ratios (current, quick, debt-to-equity, interest coverage, gross margin) with formulae and numeric inputs so reviewers can reproduce calculations.

Assumptions

Clear statements of accounting basis, consolidated vs. standalone results, and any adjustments (e.g., one-time items, related-party transactions).

Supporting Schedules

Condensed balance sheet and income statement lines that feed the ratios, with references to source documents and period end date.

Certification

Signer statement attesting to the letter’s accuracy and authorization, including printed name, title, and date aligned with signature block.

Contacts

Designated contact name, phone, and email for follow-up and to resolve calculation questions without delay.

Required Identifiers and Reference Data

Business Name: Legal entity name
Tax Identifier: EIN or TIN
Reporting Date: Period end MM/DD/YYYY
Currency: USD and rounding
Fiscal Year: Fiscal year designation
Preparer: Name and title

Step-by-Step: Preparing a Business Ratio Letter

Follow these steps to assemble a complete, verifiable Business Ratio Letter that reviewers can rely on without repeated follow-up.

  • 01
Gather source data: Collect balance sheet and income statement lines for the period end.
  • 02
Compute ratios: Calculate each ratio with visible formulas and rounding rules.
  • 03
Draft assumptions: List adjustments, consolidation rules, and any nonrecurring items.
  • 04
Certify and sign: Include a signer certification, title, date, and signature block.

Configuring an Online Workflow for the Letter

Set up a simple digital workflow to collect signatures, attach supporting schedules, and retain an audit trail.

Field Configuration
Template Create reusable template with locked ratio formulas
Signer Authentication Email link or SMS code; increase to KBA for high-risk cases
Conditional Fields Show supporting schedules only when requested by recipient
Return Path Route signed copy to requester and internal archive

Where to Send or File the Completed Letter

The destination depends on why the letter was requested; include routing instructions in the cover email or portal.

  • To the Lender: Attach to loan application or upload to lender portal
  • To a Landlord: Include as part of lease underwriting package
  • To a Vendor: Send with credit application and trade references
  • Internal Archive: Store signed version in secure records for retention

Distribution Options and Digital Signing Considerations

Use an eSignature platform when audit trail, authentication, and retention features are required by the recipient or internal policy.

  • Email Attachment: Simple delivery; less secure
  • Secure Portal: Preferred for lender uploads
  • eSignature Platform: Audit trail and tamper-evidence

Typical Timelines and Processing Expectations

Create an internal schedule that sets clear deadlines for preparation, review, and submission to meet lender or counterparty expectations.

Request Received:

Start date when the requester issues the ratio letter request

Data Collection:

Allow 1–3 business days to gather source financials

Internal Review:

Allow 1–2 business days for accounting or finance review

Finalization and Signature:

Sign and date once reviewer approves; same-day possible

Submission:

Send to recipient; expect review turnaround 2–10 business days

Common Preparation Errors to Avoid

  • Using unaudited or draft figures without labeling them, leading to confusion and follow-up requests.
  • Omitting the reporting date or fiscal year and causing mismatched comparisons with other documents.
  • Failing to document adjustments (one-time items, owner draws), which can cause ratio misinterpretation.
  • Signing without authority or failing to include a printed name and title, creating authentication issues.

Consequences of Inaccurate or Misleading Letters

Loan Denial: Application may be rejected
Repricing: Higher interest rates possible
Covenant Breach: Triggers default remedies
Legal Exposure: Potential misrepresentation claims
Delayed Funding: Slower closing timelines
Additional Audit: More documentation required

Illustrative Examples of Use

Two brief scenarios show how a Business Ratio Letter can streamline decision making for different recipients.

Small Business Loan

The borrower provided a one-page ratio letter summarizing current and quick ratios and attached a condensed balance sheet.

  • The lender used the letter to waive a full-statement requirement for a small line of credit.
  • The result was a faster approval cycle with minimal supplemental requests because assumptions and source lines were clearly identified.

Vendor Credit Decision

A vendor required proof of solvency for net-60 payment terms and accepted a ratio letter instead of audited statements.

  • The letter included debtor aging and coverage ratios.
  • The vendor extended terms after a two-day review because the letter showed consistent liquidity and included a direct contact for verification.
