What the Business Refont Document Is

The Business Refont Document is a formal written record used to document and authorize a company-level change to branding typography, corporate typefaces, or standardized document fonts across business materials. It records the parties, scope, effective date, deliverables, and responsibilities for replacing or updating fonts used in digital and print assets, and can function as an internal directive, vendor instruction, or part of a broader brand standards package.

Why a Clear Refont Document Matters

A concise Business Refont Document reduces ambiguity about who approves font changes, ensures legal and brand compliance, and creates an auditable record of the decision and implementation timeline.

Why a Clear Refont Document Matters

Who typically completes this document

Use the appropriate signatory roles listed here to ensure licensing, procurement, and brand governance are aligned before implementation.

  • Brand or marketing managers who control visual identity and approve font choices for company materials.
  • Legal or contracts teams that review licensing terms and vendor deliverables to ensure compliance.
  • External type foundry or design vendors contracted to supply fonts, files, and licensing.

Essential elements to include in the document

A robust Business Refont Document combines licensing details, scope, technical deliverables, implementation steps, responsibilities, and legal protections.

Scope

Define which assets, templates, product lines, or jurisdictions the font change affects and any excluded items.

License terms

Specify the exact font license type, permitted uses, user/device counts, sublicensing rights, and any expiration or renewal terms.

Deliverables

List delivered font files, formats (OTF/TTF/WOFF), style sets, webfont kit, and accessibility variants or fallback stacks.

Implementation

State rollout phases, CMS updates, versioning plan, and who will update templates and documentation.

Testing & Accessibility

Require rendering tests, WCAG contrast checks, and fallbacks for legacy systems or PDF/A export.

Signatures & Dates

Identify authorized signers, effective date, and any witness or notarization requirements if licensing mandates it.

Step-by-step process to finalize a Business Refont Document

Follow these sequential steps to prepare, approve, and execute the refont decision with clear responsibilities and records.

  • 01
Draft the scope: Document affected assets and exclusions before vendor engagement.
  • 02
Confirm licensing: Verify license terms, seat counts, and webfont rights with legal review.
  • 03
Technical delivery: Obtain font files, web kits, and recommended CSS fallbacks from vendor.
  • 04
Sign and record: Authorized parties sign, date, and retain a signed copy in the document repository.

Typical routing and submission flow

A clear routing path reduces delays and ensures the right teams see the document in order.

  • Request initiation: Marketing or design requests a refont and uploads draft documentation.
  • Legal review: Legal verifies license terms and any export or embedding restrictions.
  • Procurement or finance: Procurement approves budget and vendor payment terms if applicable.
  • Execution: Authorized signers execute and copies are distributed to stakeholders.

Key risks and potential consequences of errors

License breach: Civil damages and takedown notices
Unclear authority: Contract voidability or vendor dispute
Missing deliverables: Delay in rollout and additional vendor expense
Accessibility failures: Regulatory complaints under WCAG or Section 508
Retention gaps: Inability to prove rights in an audit
Incorrect signatory: Document unenforceable or challengeable

Common preparation mistakes to avoid

  • Failing to confirm seat/device counts before execution, which can trigger retroactive fees.
  • Using imprecise font names or styles, causing file substitution or rendering problems.
  • Neglecting webfont delivery requirements, leading to broken typography on websites.
  • Not preserving embedded fonts in archival PDFs, which can hamper legal or compliance reviews.

Practical tips for accurate and efficient completion

Apply these practices to reduce rework, ensure license compliance, and speed implementation.

Confirm licensing counts
Verify whether the license is per-seat, per-device, or site-wide and record the agreed metric in the document to avoid unexpected fees.
Attach technical assets
Include delivered font files, web kits, CSS recommendations, and test renderings as annexes to prevent ambiguity during rollout.
Use clear signatory authority
Name the authorized signer and include title and contact details so the vendor can verify execution without delay.
Preserve audit trail
Use an eSignature platform that captures timestamps, signer attribution, and a certificate of completion for governance records.
