What the Business Required Info Is and when it's used

The Business Required Info is a standardized collection of organizational data and attestations that businesses submit during onboarding, contracting, or compliance reviews. Typical content includes legal entity name, tax identification, authorized signatory details, banking information for payments, insurance certificates, and regulatory attestations. This information supports vendor onboarding, payment setup, tax reporting, and due diligence without requiring in-person visits. Proper completion reduces operational friction, helps avoid backup withholding or payment delays, and creates a record that organizations and regulators can rely on during audits or contract administration.

Why a complete Business Required Info matters for operations

A complete Business Required Info packet speeds onboarding, prevents payment and tax withholding errors, and documents regulatory compliance. It provides clear responsibility for signature authority, ensures correct taxpayer identification for IRS reporting, and helps procurement and accounts payable teams verify vendor legitimacy and insurance coverage.

Who typically provides and reviews this information

  • Procurement and AP teams verifying records: Validate tax IDs, authorized signers, certificates of insurance, and payment routing before executing contracts.
  • Compliance and legal reviewers: Assess attestation language, indemnity clauses, and data-handling commitments for regulatory or contract risk.

Common mistakes when preparing Business Required Info

  • Providing a trade name instead of the legal entity name leads to mismatches during IRS or bank verification and can delay payments.
  • Entering an incorrect EIN or including formatting characters (e.g., dashes) where a numeric field expects raw digits can trigger backup withholding.
  • Uploading poor-quality or incomplete attachments, such as an unreadable certificate of insurance, forces manual follow-up and slows onboarding.
  • Listing an unauthorized signer or failing to attach a corporate resolution when required creates legal risk and may invalidate contract execution.

Consequences of incorrect or missing information

Backup Withholding: 24% withholding may apply
Payment Delays: Invoices held until corrected
Contract Invalidity: Unauthorized signatures may void agreements
Regulatory Fines: Industry penalties possible
Audit Exposure: Incomplete records increase audit risk
Reputational Harm: Vendor relationship damage
