What the Business Requote Template Is

A Business Requote Template is a standardized document used to present revised pricing, scope, or delivery estimates to an existing prospect or customer after the original quote has changed. It records the original quote reference, lists the adjustments (price, schedule, materials, exclusions), and reaffirms terms and acceptance mechanics. The template is designed to reduce back-and-forth by explicitly showing what changed and why, and to provide a clear acceptance mechanism so both parties have a consistent record of the new offer and its effective date.

Why a Structured Requote Matters

Using a formal Business Requote Template reduces ambiguity about revised charges and timelines, protects both parties by documenting the basis for change, and streamlines approvals by listing required acceptances and next steps.

Why a Structured Requote Matters

Who Typically Prepares and Signs a Requote

The template is commonly used by sales, account management, procurement, and project leads when scope or cost changes require a written update.

  • Sales managers and account executives who negotiate revised commercial terms after scope changes
  • Project managers and estimators who adjust timelines or materials and need formal customer acknowledgement
  • Procurement or finance approvers who confirm pricing, discounts, and applicable billing terms

Keep signatory roles explicit to avoid disputes: name the preparer, approver, and the customer contact who can bind the company.

Essential Elements to Include in the Template

A professional Business Requote Template clearly identifies the original quote, summarizes changes, shows itemized pricing, states the effective date, lists exclusions and assumptions, and provides a clear acceptance area.

Quote Reference

Original quote number or proposal date so parties can trace the change and avoid confusion over which prior offer is being amended.

Change Summary

Concise description of what changed and why, including scope adjustments, removed or added line items, and a brief rationale for the repricing.

Itemized Pricing

Line-by-line pricing for added or removed items, unit counts, any discounts or taxes, and a net revised total for clarity during approval.

Effective Date

The exact MM/DD/YYYY when the requote takes effect and any deadlines for the customer to accept the revised terms.

Assumptions & Exclusions

List assumptions that formed the basis of the requote and any exclusions that remain the customer's responsibility to avoid later disputes.

Acceptance Block

Signature, printed name, title, and date lines for the customer and vendor along with any required signer authority statements.

Key Required Data Fields

Customer Name: Full legal name

Typical Timing and Deadlines to Track

Monitor key dates: how long the revised price is valid, internal approval SLAs, customer acceptance windows, and billing milestones.

Price Validity Window:

Internal Approval SLA:

Allow 1–5 business days for finance/legal review

Customer Acceptance Period:

Set a clear cutoff date to avoid ambiguity

Effective Date:

Record MM/DD/YYYY to mark obligations start

Billing Start:

Note when invoices or milestones become billable

Common Mistakes to Avoid

  • Failing to reference the original quote, which creates ambiguity about which terms are being changed and can lead to disputes.
  • Using vague language for changed items, such as 'additional work,' without quantities or unit prices, making enforcement difficult.
  • Not specifying signer authority or role, resulting in acceptance by someone without binding authority and later rejection.
  • Missing acceptance deadlines or not capturing the effective date, which can create gaps in performance obligations and billing cycles.

Risks of an Incorrect or Incomplete Requote

Contract Dispute: Increased litigation risk
Payment Delay: Invoices may be contested
Regulatory Exposure: Industry rules may be violated
Client Dissatisfaction: Loss of trust or business
Audit Issues: Poor record retention
Operational Delay: Project schedules slip
