What the Business Results Document Is and When It’s Used

A Business Results Document summarizes measurable outcomes from a project, program, or reporting period and presents verified metrics, context, and conclusions for stakeholders. It typically includes an executive summary, key performance indicators, variance analysis, data sources, methodology notes, and recommended next steps. Organizations use it for board reporting, investor updates, quarterly reviews, contract closeouts, and post-implementation assessments where a concise, auditable record of results is required.

Why a Clear Results Document Matters

A well-structured Business Results Document improves decision quality, creates an auditable record of outcomes, and reduces disputes over performance by documenting data sources and calculation methods in one place.

Why a Clear Results Document Matters

Who Typically Prepares and Reviews This Document

Teams and stakeholders with responsibility for performance, compliance, or contract fulfillment commonly prepare and review Business Results Documents.

  • Finance and accounting teams preparing reconciled results and variance explanations for management and external auditors.
  • Program and product managers summarizing outcomes, lessons learned, and next steps for executive review.
  • Legal, procurement, or contract administrators verifying deliverables and metrics against contract terms.

Recipients range from internal executives and boards to external partners and regulators, depending on the document’s purpose and attachments.

Who Can Sign or Authorize the Document

Authorized Signer

A named officer or delegated representative (CEO, CFO, or board designee) who has authority under corporate bylaws to certify results and bind the organization to the statements contained in the document.

Prepared By

An employee or contractor (finance manager, project lead, or analyst) who compiles and attests to the accuracy of underlying data and provides the technical foundation for the signatory’s certification.

Step-by-Step: Preparing a Business Results Document

Follow this sequence to prepare, verify, and finalize the document for internal or external distribution.

  • 01
Gather Source Files: Collect raw data extracts, reconciliations, and transaction logs for the reporting period.
  • 02
Compute Metrics: Run calculations using documented formulas; record versioned spreadsheets or scripts.
  • 03
Review & Reconcile: Perform line-by-line checks and obtain peer review for materially sensitive numbers.
  • 04
Approve and Sign: Route to authorized signers and capture signatures with date and title for the approval record.

Configuring an Online Workflow

Set these fields when you create an online signing workflow to ensure correct routing and authentication.

Field Configuration
Signer Order Sequential or parallel routing per approval matrix
Authentication Email link, SMS code, or knowledge-based authentication
Required Attachments Enable mandatory uploads for reconciliations or third-party certificates
Retention Settings Set automatic archival and access controls after signing

Where to Send and How Documents Flow

A typical routing path ensures the document reaches all required reviewers and maintains an audit trail.

  • Prepare Final Draft: Compile narrative, tables, and attachments into a single PDF or consolidation file.
  • Route for Review: Share with internal reviewers for comments and corrections; track versions.
  • Obtain Approvals: Send to authorized signers in the configured order for signature capture.
  • Distribute Final Copy: Provide signed copy to stakeholders and archive the audit trail.

Technical Requirements for Digital Preparation and Signing

Choose a platform that supports common document formats, preserves audit trails, and integrates with your storage or ERP.

  • File Formats: PDF, DOCX, XLSX supported
  • Integrations: Salesforce, NetSuite, Google Workspace compatibility
  • Security Controls: AES-256 at rest; TLS 1.2/1.3 in transit

Ensure your chosen platform can produce a tamper-evident signed PDF, retain an audit trail, and meet any industry-specific compliance needs.

Typical Timelines and Internal Deadlines

Set clear internal deadlines aligned to reporting cycles and stakeholder review windows to avoid late approvals.

Quarterly Submission:

Submit final document within 15 business days after quarter end.

Board Packet Deadline:

Provide signed results at least five business days prior to board meeting.

External Partner Review:

Allow ten business days for third-party verification where required.

Regulatory Filing Window:

Align any public disclosures with mandated SEC/agency deadlines.

Archival Start:

Archive once signatures are captured and final file is produced.

Common Preparation Errors to Avoid

  • Using inconsistent data sources across sections, which creates irreconcilable totals and delays sign-off.
  • Missing or ambiguous methodology notes, leaving reviewers unable to verify how metrics were calculated.
  • Failing to capture signer titles or authority, which can render the approval administratively incomplete.
  • Distributing unsigned drafts as final versions, causing confusion and potential compliance issues.

Practical Risks If the Document Is Incorrect

Reputational Harm: Stakeholder trust erodes quickly
Contract Disputes: May trigger remediation obligations
Regulatory Exposure: Late or inaccurate public filings can draw scrutiny
Financial Restatements: Incorrect figures can require corrections
Audit Findings: Weak documentation increases finding risk
Operational Delay: Approval bottlenecks slow downstream work
