What a Business Results Letter Is and When it’s Used

A Business Results Letter is a formal written summary that documents performance, outcomes, or deliverables for a project, engagement, or reporting period. It typically combines quantitative metrics, narrative analysis, and recommended next steps so stakeholders can assess success and make decisions. Organizations use it to record agreed results for clients, boards, or internal program owners and to create an auditable record tied to invoices, milestones, or compliance obligations.

Why a Clear Business Results Letter Matters

A concise Business Results Letter provides an evidentiary record of outcomes, reduces ambiguity about performance, and supports billing, dispute resolution, and retention requirements. When executed correctly it helps establish intent and attribution under electronic signature law (15 U.S.C. ch. 96, ESIGN) and aligns expectations between parties.

Why a Clear Business Results Letter Matters

Who Typically Prepares and Receives These Letters

Internal project managers, account executives, and billing teams commonly prepare Business Results Letters to summarize completed work and outcomes for clients or internal stakeholders.

  • Client-facing teams and account managers who need documented acceptance of deliverables and payment authorization.
  • Finance and billing groups that require a record tying outcomes to invoices and revenue recognition.
  • Legal or contracts teams who need a written basis for renewal negotiations, claims, or audit trails.

Stepwise process to prepare and finalize a Business Results Letter

Follow these steps to create a consistent, approvable letter that can be retained as an auditable record.

  • 01
Draft: Assemble data, attach supporting files, and draft the executive summary.
  • 02
Review: Internal stakeholders validate metrics and narrative for accuracy.
  • 03
Approve: Named approvers sign or consent to the letter before distribution.
  • 04
Send: Deliver to recipients and capture electronic signatures and audit trail.

Common mistakes to avoid when preparing a Business Results Letter

  • Using inconsistent metric definitions across periods, which makes trend comparison unreliable and invites disputes.
  • Failing to attach supporting evidence such as logs or spreadsheets, leaving assertions unverified during audits.
  • Omitting signer authority details, which can invalidate acceptance if the signatory lacked authority to bind the organization.
  • Relying on ambiguous language about deliverables instead of explicit, measurable outcomes and acceptance criteria.

Key risks and potential consequences of errors

Contract Dispute: Loss of clarity
Payment Delay: Invoice withholding
Regulatory Exposure: Noncompliance risk
Tax Implications: Incorrect reporting
Reputational Harm: Client trust erosion
Audit Failure: Record gaps cited
