What the Business RIG Template Is and when teams use it

The Business RIG Template is a structured business form that captures responsible parties, required documents, approval steps, and key governance details for a company process or transaction. It standardizes who does what, when approvals are required, required supporting files, and how risks or compliance items are tracked. Organizations use this template to reduce ambiguity in approvals, ensure consistent recordkeeping, and create a single reference that supports audits, internal controls, and later revisions.

Why a standard Business RIG Template matters

A consistent template reduces processing errors, clarifies responsibilities, and creates a retained record that supports audits and regulatory reviews. It also shortens approval cycles and helps teams scale repeatable governance across projects and locations.

Why a standard Business RIG Template matters

Who commonly completes a Business RIG Template

Typical users include project managers, compliance officers, contracting teams, and operations staff who need a single authoritative record of approvals and supporting documents.

  • Project managers tracking milestones and sign-offs across departments
  • Compliance or legal teams documenting controls, approvals, and evidence
  • Finance or procurement teams confirming authorization and budget sign-off

The template centralizes responsibility and ensures each stakeholder has a clear, reproducible role in the governance workflow.

Core elements to include in a professional Business RIG Template

A complete template groups governance elements into clear sections so reviewers find responsibilities, dates, approvals, and supporting evidence quickly.

Parties

Names and contact details for all responsible entities and approvers, clearly labeled by role.

Scope

Brief description of the activity, deliverables, limits, and any exclusions tied to governance.

Approval Flow

Ordered list of approvers, required sign-off types (initial, signature), and routing conditions.

Supporting Documents

List required attachments such as contracts, licenses, certificates, and proof of insurance.

Risk Controls

Documented mitigation steps, escalation contacts, and required verification tasks.

Retention

Indicate recordkeeping periods and storage format for compliance and audit.

Step-by-step: completing the Business RIG Template

Follow these four steps in order to prepare, route, and finalize a Business RIG Template with minimal rework.

  • 01
Prepare: Collect party details, scope, and attachments before starting the template.
  • 02
Populate: Enter fields exactly as documented and attach required files in PDF or DOCX.
  • 03
Route: Send to approvers in the defined order with clear instructions for each signer.
  • 04
Archive: Store the signed record with audit metadata and retention tags.

Typical electronic workflow for the Business RIG Template

This sequence shows how a template moves from draft to final record when processed electronically.

  • Draft: Author completes fields and attaches supporting documents.
  • Assign Fields: Place signature, date, and conditional fields for each approver.
  • Send for Signature: Distribute in defined order or via bulk send for repeatable workflows.
  • Complete Record: Signed document and audit trail are saved and retained per policy.

Configuring an online approval workflow

Map these settings when you create a digital workflow to ensure correct routing and authentication.

Field Configuration
Signer Order Sequential or parallel
Authentication Email link, SMS code, or KBA
Notifications Email reminders and escalation
