What the Business RLE-B Template Is and When It Applies

The Business RLE-B Template is a standardized commercial lease form designed for business tenants and landlords to document terms for renting nonresidential premises. It captures parties, premises description, lease term, rent schedule, security deposit, permitted uses, maintenance responsibilities, insurance, and termination rights. The template is intended for negotiation and adaptation to local law; many provisions are optional or subject to state-specific requirements. Electronic execution is generally accepted under U.S. law when the parties satisfy intent, consent, attribution, and retention requirements under ESIGN and applicable state UETA rules.

Why Use a Standardized Business RLE-B Template

A consistent template reduces drafting errors, speeds negotiations, and centralizes key commercial terms so both parties understand obligations and risk allocation. It also eases recordkeeping and electronic execution while preserving flexibility to add jurisdictional clauses or exhibits.

Why Use a Standardized Business RLE-B Template

Typical Users and Stakeholders

Use the template as a starting point and add industry- or state-specific provisions before final execution and filing where required.

  • Landlords and property managers handling multi-tenant commercial buildings and standardized leasing workflows.
  • Business tenants (startups, retailers, offices) negotiating rent, TI allowances, and permitted uses.
  • Brokers, outside counsel, and contract administrators coordinating edits, approvals, and execution.

Core Sections to Include in a Professional Business RLE-B Template

A complete template groups essential topics so parties can find obligations quickly and attach exhibits for technical details.

Parties

Identify full legal names, business entity type, and authorized signers for each party so the lease binds the correct legal entities and individuals.

Premises & Term

Describe the leased space precisely (suite, square footage), specify commencement and expiration dates, and include options to extend or early-terminate.

Rent & Payments

State base rent, escalation method, payment frequency, late fees, and address for payment delivery; include prorations for partial periods.

Security Deposit

Specify deposit amount, permitted uses, interest (if state law requires), and conditions for return at lease end.

Maintenance & Repairs

Allocate responsibility for repairs, common area maintenance, HVAC, and rule for capital improvements and tenant alterations.

Termination & Remedies

Set default events, cure periods, landlord remedies, and any indemnities or limitation of liability clauses.

Step-by-Step: Completing and Finalizing the Template

Follow a clear sequence to reduce errors and ensure enforceability when preparing and executing the lease.

  • 01
Review Template: Confirm clauses match negotiated business terms.

  • Upload Document: Import PDF or DOCX into the signing platform.
  • Place Fields: Add signature, date, and initial fields where required.
  • Send to Signers: Provide signer emails and required authentication.
  • Finalize & Store: Capture signed PDF and audit trail for records.

  • File Formats: PDF and DOCX supported
  • Authentication: Email, SMS, or stronger
  • Integrations: CRM and cloud storage

Key Dates and Timeframes to Track

Commercial leases contain several time-sensitive dates; record them clearly to avoid missed payments or default triggers.

Effective Date:

Date lease obligations begin; affects rent and insurance.

Rent Due Dates:

Monthly or periodic due dates and grace periods.

Notice Periods:

Cure and termination notice windows specified in lease.

Security Deposit Return:

State law may limit return timing after lease end.

Renewal Election Deadline:

Date by which tenant must exercise extension options.

Milestone Timeline from Negotiation to Lease Administration

Track milestones from initial offer through lease administration to ensure obligations are met and records retained.

01

Negotiation

Finalize terms, exhibits, and contingencies before signatures.

02

Execution

All authorized signers execute lease and provide supporting docs.

03

Move-In

Tenant completes acceptance checklist and pays required sums.

04

Ongoing Administration

Manage amendments, rent changes, and compliance obligations.

Common Penalties and Risks from Errors or Omissions

Incorrect Party Name: Can render lease unenforceable
Missing Signatures: Invalidates execution in some jurisdictions
Late Rent Clauses: May trigger fees or default
Unrecorded Amendments: Creates title and enforcement issues
Improper Notice: Waives landlord remedies
Tax Reporting Errors: May trigger IRS penalties

Typical Preparation Mistakes to Avoid

  • Using abbreviated or trade names instead of the entity’s full legal name, which can prevent proper enforcement and complicate filings.
  • Leaving key financial terms vague (e.g., 'market rent' without definition), creating disputes over calculations and escalations.
  • Forgetting local compliance items such as rent control disclosures or business licensing requirements, which can invalidate lease terms.
  • Failing to attach essential exhibits (floor plans, TI specifications, insurance certificates) that are referenced in the body of the lease.
