What the Business ROI Communication Template Is

The Business ROI Communication Template is a standardized document for presenting projected and realized return-on-investment figures, assumptions, timelines, and decision points to internal or external stakeholders. It organizes quantitative metrics, qualitative assumptions, and approval fields so finance, operations, and executives can evaluate business cases consistently. The template is designed for version control, auditability, and optional electronic signature so signers can confirm acceptance. It serves as both a planning record and a communication artifact used during approvals, project launches, vendor selection, and fiscal reviews.

Why Use a Structured ROI Communication Template

A consistent template reduces ambiguity, speeds stakeholder review, and provides an auditable record of assumptions and approvals. It helps compare alternatives using the same metrics, supports compliance with internal controls, and preserves an evidentiary trail for financial review or audit.

Why Use a Structured ROI Communication Template

Primary Users and Signers

The document bridges technical assumptions with governance by collecting approvals from authorized signers and preserving a dated record.

  • Finance teams preparing cost-benefit analyses and budget requests for leadership review.
  • Business unit leaders requesting project approval or capital allocation from executives.
  • Procurement or vendor managers documenting expected savings from contract changes.

Core Elements a Professional ROI Communication Template Should Include

A robust template balances numbers, assumptions, and governance fields so reviewers can validate claims and sign with confidence.

Executive Summary

One-page overview with net present value, payback period, and headline benefits so decision makers see the conclusion quickly.

Detailed Financials

Line-item costs, revenue impacts, cash-flow timing, discount rate, and sensitivity scenarios to allow forensic review of the ROI calculation.

Key Assumptions

Clear, numbered assumptions (volume, pricing, adoption rates) with data sources and dates to enable validation and future re-testing.

Approval Section

Designated signatory lines, role titles, signature dates, and optional eSignature fields that capture intent and attribution.

Implementation Milestones

High-level timeline with milestones tied to benefit realization, owner names, and measurement cadence for post-implementation reviews.

Attachments

Supporting schedules, vendor quotes, and model exports attached as exhibits to preserve the calculation inputs.

Step-by-Step: Preparing and Submitting the Template

Follow a clear sequence from model build to approval and archiving to ensure accuracy and traceability.

  • 01
Build Model: Assemble cost and benefit inputs with supporting source references.
  • 02
Populate Template: Enter headline metrics, assumptions, and attach supporting exhibits.
  • 03
Review Internally: Obtain finance review and reconcile discrepancies before external routing.
  • 04
Authorize: Collect required signatures and record dates in the approval section.

Where to Send or File the Completed Template

Route documents to the right recipients and filing locations based on governance and retention policies.

  • Internal Review: Send to finance and the project sponsor for verification and commentary.
  • Executive Approval: Forward approved templates to the executive approver(s) listed in policy.
  • Corporate Records: Store the executed template in the official document repository or contract management system.
  • Audit Copies: Save a read-only archival copy in compliance with retention schedules.

Distribution and Digital Signing Considerations

Ensure chosen channels support an audit trail (timestamps, IPs, actions) and align with any regulatory authentication requirements before finalizing distribution.

  • Email Links: Works for low-risk approvals with basic identity checks.
  • Authenticated Signing: Use SMS code, SSO, or KBA for stronger signer verification.
  • Integration: Connect to systems like Salesforce or NetSuite for automated routing.

Configuring an Online ROI Approval Workflow

Standardize workflow settings to automate routing, reminders, and final archiving for auditability.

Field Configuration
Signer Order Sequential routing by role to enforce approvals
Authentication Email + optional SMS code for stronger identity checks
Auto-Reminders Set reminder cadence (e.g., 3, 7, 14 days)
Archive Rule Auto-save executed copy to records management system

Typical Timeline and Deadlines for an ROI Submission

Set clear review and approval deadlines to align financial planning cycles and ensure timely decision making.

Draft Completion:

Complete initial draft at least 14 days before the scheduled review meeting

Internal Review Deadline:

Allow 7 business days for finance and stakeholders to provide feedback

Executive Approval:

Target final approval within 10 business days of submission

Implementation Start:

Begin execution once approvals and funding are confirmed

Post-Implementation Review:

Schedule benefit measurement 6–12 months after implementation

Common Preparation Pitfalls to Avoid

  • Using inconsistent assumptions across projects makes comparative analysis unreliable and undermines decision quality.
  • Failing to attach source documents prevents verification and increases the likelihood of challenged numbers during audits.
  • Omitting signer roles or approval authorities delays approval cycles and may result in unauthorized commitments.
  • Rounding figures excessively or hiding aggressive assumptions reduces transparency and raises governance concerns.

Legal and Operational Risks of Incorrect ROI Communications

Contract Risk: Misstated ROI may lead to contractual disputes
Regulatory Risk: Consumer-facing claims may trigger compliance review
Financial Audit: Incorrect inputs can cause restatements or audit findings
Reputational Harm: Inflated claims damage stakeholder trust
Tax Consequences: Improper deductions or classifications may raise IRS inquiries
Operational Delay: Missing approvals delay project start
