What the Business RPS Template Is

The Business RPS Template is a standardized business request-and-proposal-style form designed to collect scope, pricing, schedule, and approval details for a procurement or service engagement. It centralizes technical requirements, deliverables, pricing tables, submission instructions, and signature blocks so stakeholders can compare offers, document decisions, and retain a clear audit trail for contract formation.

Why use a formal Business RPS Template

A consistent template reduces ambiguity, speeds evaluation, and supports defensible procurement decisions. It preserves records needed for audits, tax reporting, compliance, and dispute resolution while making it easier to apply standardized scoring, gather approvals, and track communications.

Why use a formal Business RPS Template

Who typically completes or receives this template

Typical users include procurement teams, project sponsors, and contract managers who need a repeatable way to solicit and compare offers.

  • Procurement and sourcing teams responsible for vendor selection and bid evaluation
  • Small business owners or project sponsors issuing requests for scoped services
  • Legal and compliance reviewers ensuring terms, insurance, and data protections match policy

Recipients include bidders, internal reviewers, and legal or compliance staff who evaluate responses and approve awards.

Essential sections to include in the template
