What a Business Service Letter Is and when it’s used

A Business Service Letter documents services performed by a business for a customer, client, or counterparty and summarizes dates, deliverables, and charges. Commonly used to verify work for lenders, landlords, contracting partners, or compliance reviewers, the letter provides a concise factual record that supports invoicing, payment, or contractual milestones. It may be issued on company letterhead, attached to invoices or contracts, and can be signed electronically where permitted by ESIGN and applicable state law.

Why a clear Business Service Letter matters

A well-prepared Business Service Letter reduces disputes, supplies verifiable proof for third parties, and documents the scope and timing of services for audit or legal review. When properly executed it helps streamline collections, supports regulatory recordkeeping, and creates an auditable chain of evidence for payments or contract performance.

Why a clear Business Service Letter matters

Who typically prepares and accepts these letters

The Business Service Letter is used by multiple functional roles and organizations across industries.

  • Real estate managers and leasing agents who require service verification for tenant improvements and vendor billing.
  • Healthcare administrators and clinics documenting third-party services where HIPAA addenda may apply.
  • Finance teams, lenders, and accounts receivable departments confirming contract milestones or billing events.

Choose the signatories and distribution list to match the business context and any regulatory requirements applicable to the recipient.

Essential parts to include in a Business Service Letter

A professional letter is structured for clarity: identify parties, describe services, state dates, note fees, provide contact details, and include signature authentication.

Letterhead

Company name, address, contact phone and email on official letterhead to establish provenance and accountability in signatures and records.

Service description

Concise, itemized description of services performed, deliverables delivered, and the period covered so third parties can verify scope.

Service dates

Start and end dates or single service date in MM/DD/YYYY format to tie the letter to specific performance intervals.

Amounts charged

Specify fees, payment terms, and whether amounts are estimates or final invoices; reference invoice numbers when applicable.

Recipient details

Include the name, organization, and mailing or email address of the party requesting verification for clear routing and auditability.

Signature block

Name, title, date, and signature or notarization; indicate who has authority to sign and whether a witness or notary was used.

Security and compliance considerations for the letter

Encryption: TLS 1.2/1.3; AES-256 at rest
Audit trail: Complete signer activity log
HIPAA support: BAA required for PHI handling
Regulatory acts: ESIGN and UETA compliance
Certifications: SOC 2 Type II and ISO 27001
Access control: Role-based permissions and SSO

Step-by-step: Fill out a Business Service Letter

Follow these steps to produce a clear, legally reliable verification letter.

  • 01
Identify parties: Enter full legal names and contact details for issuer and recipient.
  • 02
Describe services: Use short, specific item lines tying work to dates or invoice numbers.
  • 03
State dates and amounts: Use MM/DD/YYYY and specify fees; note if amounts are estimates.
  • 04
Sign and authenticate: Sign, date, and include notary or witness if required by recipient.

Configuring an online workflow for Business Service Letters

Select authentication, signature, and storage settings to match the letter’s intended use and any regulatory needs.

Field Suggested Setting
Authentication method Email link; add SMS or KBA for higher assurance
Signature type Typed or drawn signature with audit trail
Notarization Enable RON where state permits; otherwise require in-person
Storage Archive signed PDF/A in encrypted storage

Where to send or submit the completed letter

Route copies based on the recipient’s requirements and your internal recordkeeping rules.

  • Client or Requestor: Send the signed letter directly to the party that requested verification.
  • Lender or Underwriter: Provide a certified copy for loan closing or underwriting review.
  • Internal Records: Store a copy in accounts receivable or contract folder for audits.
  • Regulatory Filings: Submit with compliance packets when regulators require service confirmation.

Options for distributing and signing the letter electronically

Choose a delivery channel that matches the recipient’s security expectations and legal requirements.

  • Email delivery: Secure signed PDF via encrypted email
  • Signing link: One-time link with optional SMS code
  • Integration: Use CRM or document storage connectors

Maintain an auditable copy in encrypted storage and include the audit trail or certificate of completion when sharing with third parties.

Typical timelines and response expectations

Turnaround depends on request urgency and the need for notarization or third‑party verification.

Respond to requests:

Provide letter within 7–14 business days unless expedited.

Loan or closing deadlines:

Align submission with lender closing timeline; same‑day requests sometimes required.

Audit requests:

Allow up to 30 days to gather supporting documents for auditors.

Notarization window:

Schedule notarization early; RON availability varies by state.

Retention start:

Retention begins on letter creation or the service completion date.

Common preparation mistakes to avoid

  • Using informal or ambiguous service descriptions that leave scope open to interpretation and later dispute.
  • Mismatching business or signer names versus corporate records, causing third parties to request additional proof.
  • Failing to include invoice or contract references so the verification cannot be tied to a specific billing event.
  • Not checking whether the recipient requires notarization or a higher authentication level before sending.

Consequences of incorrect or inadequate letters

Contract disputes: May lead to delayed payments
Regulatory exposure: Possible fines or compliance review
Backup withholding: Incorrect TINs can trigger 24% withholding
Fraud allegations: Misstatements risk civil or criminal claims
Rejected verification: Recipient may demand notarized reissue
Audit complications: Incomplete records prolong audits
