What the Business Services AAAVIA Is and when it's used

The Business Services AAAVIA is a standardized administrative agreement or service form organizations use to document the scope, responsibilities, payment terms, and administrative details for business-to-business services. It centralizes contact information, deliverables, schedules, and signature blocks so parties have a single, reproducible record of obligations. This guidance treats the AAAVIA as a contractual or transactional document that may be executed electronically under U.S. e-signature law and retained for compliance and audit purposes.

Why a clear, complete AAAVIA matters for compliance and operations

A properly completed Business Services AAAVIA reduces ambiguity about deliverables, clarifies payment and liability terms, and supports enforceability by documenting intent, parties, and execution. It also creates an auditable record for accounting, regulatory, and dispute-resolution needs and can be executed electronically consistent with ESIGN (15 U.S.C. ch. 96) and applicable state UETA provisions.

Why a clear, complete AAAVIA matters for compliance and operations

Which roles commonly prepare and sign this form

Multiple stakeholders may be involved in drafting, approval, and signature; ensure each role has access to the same final document version.

  • Procurement and vendor managers who negotiate service terms and monitor deliverables.
  • Finance and accounts payable teams that verify fees, payment schedules, and invoicing instructions.
  • Legal or contract administrators who confirm liability, confidentiality, and governing law provisions.

Typical signers and their authority

Authorized Signatory

An officer, partner, or delegated manager with corporate authority to bind the organization; confirm company bylaws or delegation of authority before acceptance.

Contract Administrator

An employee or agent responsible for day-to-day contract performance and communications; this person does not always have signature authority but should be listed for notices and operational contact.
