Practical Tips to Reduce Errors and Delays

Practical tips reduce errors and speed turnaround when completing the Business Services AECB Form consistently.

Always use full legal entity names without abbreviation
Enter the legal name exactly as it appears on tax documents and licenses; mismatched names between the AECB Form and W-9 or bank accounts can cause payment holds, backup withholding, and delays in vendor setup.
Verify tax identification numbers and W-9 before processing
Request a completed W-9 and confirm the Taxpayer Identification Number (TIN) before finalizing the AECB Form; incorrect or missing TINs may trigger IRS backup withholding at the 24% rate and require corrected filings.
Always use MM/DD/YYYY format for all effective and signature dates
Consistent date formatting prevents ambiguity across systems and supports correct calculation of renewal, notice, and limitation periods; include time zones when execution timing could affect rights or deadlines in cross-state agreements.
Attach W-9, insurance proof, business licenses, and relevant exhibits
Maintain copies of supporting items with the completed form; scanned PDFs with searchable text and the signed audit trail make future compliance checks and financial reconciliations faster and reduce requests for supplementary documentation.
