Practical Tips to Reduce Errors and Speed Approvals

Practical completion tips to reduce errors, speed approvals, and maintain legal defensibility for the Business Services AKLI.

Confirm signer authority, title, and corporate authorization
Verify signers have authority to bind entities; obtain board resolutions or delegation certificates when required. Document the basis for authority in file notes to prevent later challenges and to support auditors.
Use precise scope and acceptance criteria
State measurable acceptance tests, delivery formats, and inspection windows. Tie payments to completed milestones and list remedies for nonconformance to reduce ambiguity and expedite dispute resolution without litigation.
Keep a complete audit trail for every action
Record timestamps, IP addresses, signer authentication method, and document edits. Ensure exportable audit logs are stored with the signed document to prove signing events in legal or regulatory reviews.
Review retention policies against regulations
Map retention to IRS, HIPAA, and industry rules; keep originals during the active term and for statutory minimums afterwards. Document destruction policies should include legal holds and chain-of-custody controls.

Who Can Sign and What Authority Is Required

Corporate Officer

Corporate officers such as the CEO or CFO frequently have authority to execute service agreements on behalf of the company when a delegation of authority exists. Confirm board-approved signing limits and obtain evidence of authorization for high-value commitments.

Procurement Lead

Procurement managers often execute lower‑value service AKLIs within delegated limits. Always verify the approved delegation, purchase order references, and that finance has validated budgets and purchase coding before accepting signatures to avoid noncompliance.
