What the Business Services Azure ExpressRoute request covers

Business Services Azure ExpressRoute is a formal request and configuration document used to provision a private, dedicated connection between an organization’s on-premises network and Microsoft Azure for business services workloads. The form captures circuit specifications, peering choices, bandwidth and VLAN details, service provider contacts, and routing expectations so networking, procurement, and carrier teams can coordinate physical delivery, billing, and acceptance testing without relying on the public internet.

Why teams use a formal ExpressRoute request

A structured ExpressRoute request reduces ambiguity about circuit requirements, shortens vendor lead times, and documents compliance needs for sensitive workloads. It clarifies responsibilities across network, security, and carrier teams while preserving an auditable record of authorization and configuration choices.

Why teams use a formal ExpressRoute request

Who typically completes this ExpressRoute request

The form is completed by technical and procurement stakeholders coordinating the private Azure connection.

  • Cloud/network engineering teams who specify topology, BGP, and peering details for Azure hybrid connectivity.
  • Procurement or vendor management teams who handle carrier ordering, quotes, and contract terms.
  • Managed service providers and telecom carriers who translate the request into a physical circuit order.

Multiple signatory roles (technical approver, finance approver, and authorized requester) ensure accountability before ordering or provisioning.

Stepwise process for submitting the request

Follow these four steps to complete, approve, and send the ExpressRoute request to the provider.

  • 01
Prepare Details: Gather subscription ID, network ranges, and contact information.
  • 02
Complete Form: Fill circuit specs, peering type, VLAN, and authorization fields.
  • 03
Obtain Approvals: Technical and procurement approvals must be dated and signed.
  • 04
Send to Provider: Transmit to carrier or exchange with supporting attachments.

How the provisioning workflow unfolds

A coordinated workflow moves the request from internal approval through carrier ordering, physical delivery, and final acceptance testing.

  • Submit Request: Authorized requester sends completed form and attachments.
  • Carrier Order: Provider schedules circuit build and assigns service key.
  • Circuit Install: Physical cross-connect and provisioning occur at the exchange.
  • Acceptance Test: Run connectivity and performance tests before handover.

Configurable workflow settings to include in the form

Document workflow settings so automated systems and provisioning teams apply consistent validation and notifications.

Field Configuration
Authentication Email + optional SMS code for signer verification
Peering Type Choose private, Microsoft, or public peering
VLAN ID Numeric VLAN identifier used by the provider
Notifications Send status updates to requester and carrier contacts

Integrations and file formats for electronic processing

Use standard formats and integrations so procurement and network teams can ingest requests automatically.

  • File Formats: PDF or DOCX preferred for preservation and signability
  • Integrations: Microsoft 365, Azure, Salesforce, and NetSuite commonly used
  • APIs: REST APIs support automated order submission and tracking

Essential components of a professional ExpressRoute request

A complete request combines administrative, technical, and compliance elements so carriers and cloud teams can provision accurately and trace decisions.

Customer Information

Legal entity, billing contact, and Azure subscription ID. This ties the circuit to the correct tenant and ensures invoices are routed properly; include billing account numbers and purchase order references when required by procurement.

Circuit Specifications

Circuit name, bandwidth, and service type. Provide exact bandwidth (Mbps/Gbps), any burst policies, and redundancy expectations so the carrier can size and quote appropriately.

Peering and Routing

Peering type, ASN, and BGP prefixes. Specify Microsoft peering versus private peering, advertiseable prefixes, and whether route filters or communities are required for traffic control and security.

Provider Contact

Carrier account manager, technical resource, and escalation contacts. Provide phone and email for scheduling physical cross-connects and troubleshooting during install windows.

Security and Compliance

Encryption, data residency notes, and required addenda. Flag HIPAA or PCI workloads so contractual BAAs or additional controls can be applied before provisioning.

Acceptance Criteria

Performance thresholds, test cases, and handover checklist. Define latency, packet loss, and throughput acceptance criteria plus the timeline for corrective actions if thresholds are not met.

Common errors that cause provisioning delays

  • Incomplete subscription or tenant IDs that prevent the provider from linking the circuit to the correct Azure account.
  • Mismatched or overlapping IP prefix ranges that conflict with existing on-prem routes and cause BGP session failures.
  • Missing carrier account or PO references that block order acceptance or lead to billing disputes.
  • Unclear acceptance criteria or absent test steps that delay sign-off and final handover.

Security and compliance signals to include on the request

Encryption: TLS 1.2/1.3 in transit
At-rest: AES-256 encryption at rest
Certifications: ISO 27001 and SOC 2 Type II
HIPAA: BAA available when required
Audit Trail: Preserve signer IP and timestamps
Authentication: Multi-factor options supported

Risks and consequences of incorrect or incomplete requests

Order Delay: Carrier rejects incomplete orders
Routing Failures: BGP misconfiguration causes outages
Billing Errors: Wrong billing account incurs charges
Compliance Gaps: Missing BAA impacts HIPAA compliance
Security Exposure: Incorrect peering exposes networks
Extended SLA Recovery: Longer downtime and remediation costs

Typical timelines and lead times to plan for

Provisioning and approval timelines vary by carrier, exchange, and physical location; include realistic lead times when scheduling projects.

Internal Approval:

Allow 2–5 business days for technical and procurement sign-offs

Carrier Lead Time:

Expect 2–8 weeks for delivery depending on cross-connect availability and locality

Site Survey:

Scheduling and physical inspection may add 3–10 business days

Provisioning Window:

Coordinate maintenance windows to minimize business impact

Acceptance Testing:

Allow 1–5 business days for performance validation and remediation

Key milestones from request to live circuit

Track these sequential milestones so stakeholders know when to expect activity and approvals at each stage.

01

Request Submission

Requester files completed form with attachments and PO details.

02

Order Validation

Carrier validates feasibility, assigns order number, and schedules install.

03

Physical Installation

Cross-connect and circuit activation at exchange or POP.

04

Testing & Handover

Run BGP, throughput, and latency tests; finalize acceptance.

Electronic signature versus PKI-based digital signature

Choose the signature type that matches your compliance and non-repudiation needs; the table summarizes core differences.

Criteria Electronic signature Digital signature (PKI)
Legal Acceptance yes under esign/ueta yes under esign/ueta
