What the Business Services CAVSAU Is and When It’s Used

The Business Services CAVSAU is a standardized administrative form used to authorize, document, and route third-party service engagements and internal approvals across business units. It captures party identification, scope of services, pricing or consideration, billing instructions, effective and expiration dates, deliverables or milestones, and designated signature authority. Organizations use the CAVSAU to reduce ambiguity between procurement and accounts payable, to support contract administration, and to create an auditable record for compliance, tax reporting, and internal controls. Electronic completion is permitted where ESIGN/UETA rules apply.

Why Using a Complete CAVSAU Matters

A completed Business Services CAVSAU clarifies responsibilities, standardizes vendor terms, and produces a single record for approvals, billing, and audit, reducing processing delays and supporting tax and regulatory compliance.

Why Using a Complete CAVSAU Matters

Teams That Typically Prepare and Sign the Form

Typical users include procurement, accounts payable, legal, and operations teams who manage vendor relationships and service contracts.

  • Procurement teams: evaluate vendor scope, approve terms, and ensure compliance with purchasing policies.
  • Accounts payable: match billing instructions, verify invoice authority, and schedule payments.
  • Legal and contracts: confirm indemnities, governing law, termination clauses, and signature authority.

Teams coordinate routing, approvals, and retention so the CAVSAU integrates with procurement, invoicing, and audit workflows.

Typical Signer Roles and Responsibilities

Purchasing Manager

Leads vendor selection and approval for the CAVSAU, completes scope and pricing fields, coordinates procurement approvals, and ensures purchase orders align with the executed form to prevent delivery or payment disputes.

Controller

Oversees financial controls, reviews billing and tax-related fields on the CAVSAU, confirms GL coding and withholding instructions, and enforces retention policies for audit and tax compliance.

Core Sections to Include in a Professional CAVSAU

A clear CAVSAU separates administrative, commercial, and legal elements so reviewers and auditors can find essential terms quickly during procurement and payment cycles.

Parties

Identify legal entity names, business addresses, and contact persons for each party. Use the exact name on tax and banking records to avoid payment or withholding errors.

Scope

Describe services, deliverables, milestones, and acceptance criteria in measurable terms to reduce disputes and to align performance with billing triggers.

Payment

Specify consideration, invoicing frequency, payment terms, expense reimbursements, and any retainers or milestone payments to ensure accounts payable can process invoices correctly.

Dates

Include effective date, term or expiration, renewal mechanics, and termination notice periods so obligations and statute-of-limitation windows are clear.

Signatures

Show authorized signer names, titles, and date fields. State whether signature by an agent is permitted and capture signature authority supporting documents when required.

Legal Terms

Include governing law, dispute resolution, indemnities, confidentiality, insurance, and data-handling clauses appropriate to the services being procured.
