Practical tips to reduce errors and speed approvals

Apply these practices to minimize rework, ensure compliance, and shorten the approval cycle for EliteFAO submissions.

Verify identity early
Confirm the vendor's legal name and tax ID before populating the form. Early verification prevents TIN mismatches that can trigger backup withholding and delay payments; keep a scanned copy of the verifying document attached to the record.
Use clear effective dates
Set an unambiguous MM/DD/YYYY effective date to align obligations and help calculate retention periods. Avoid backdating and document any retroactive approvals in an attached addendum.
Attach supporting documents
Include W-9, insurance certificates, and scope exhibits with the EliteFAO to streamline vendor onboarding and reduce additional document requests during review.
Preserve the audit trail
Record each approval and signature with timestamps and authentication details to support dispute resolution and compliance audits.

Key timing rules and submission deadlines to watch

Some document timings trigger tax or reporting obligations; track these dates to avoid penalties and ensure timely processing.

W-9 Timing:

Provide on payer request; keep updated to avoid backup withholding

W-2 Deadline:

Send to employees by Jan 31 each year

1099-NEC Deadline:
