What the Business Services GSI Is and when it’s used

The Business Services GSI is a standardized business services form used to document scope, fees, timelines, deliverables, and signatory authority between a service provider and a client. It consolidates contractual terms, attachments, and approval fields into a single record for procurement, vendor onboarding, or project work orders. Where executed electronically in the United States, the GSI is generally enforceable under the ESIGN Act (15 U.S.C. ch. 96) and state UETA laws provided the parties demonstrate intent, consent, attribution, and record retention. Many organizations use an eSignature platform to collect, track, and archive completed GSIs securely.

Why a consistent Business Services GSI matters

A consistent GSI reduces ambiguity in scope and payment, centralizes required approvals, and creates an auditable record for compliance and post-contract review while supporting electronic execution under U.S. e-signature law.

Why a consistent Business Services GSI matters

Typical organizations and roles that complete the GSI

Teams across procurement, finance, and operations complete GSIs to establish service terms, approvals, and billing instructions before work begins.

  • Real estate and property managers: use GSIs for vendor services, lease-related work, and recurring maintenance agreements; common in mobile and field workflows.
  • Healthcare and clinics: collect service agreements and vendor attestations while ensuring HIPAA-covered information is addressed in addenda where applicable.
  • Finance and legal teams: finalize payment terms, tax information, and reviewer signatures for vendor onboarding and audit readiness.

The form is also used by legal and compliance teams to confirm contract language and retention obligations prior to final execution.

Step-by-step: completing and approving a Business Services GSI

Follow a clear sequence from draft to signed record to ensure approvals, tax data, and compliance checks are completed before work begins.

  • 01
Prepare draft: Populate fields and attach SOW or exhibits before routing.
  • 02
Internal review: Obtain procurement, legal, and finance approvals in sequence.
  • 03
Obtain signatures: Collect signatures electronically or notarized if required.
  • 04
Archive record: Store signed GSI in secure records with audit trail.

Typical electronic signing workflow for a GSI

An eSigning workflow streamlines distribution, authentication, signing, and archival while capturing an auditable certificate of completion for the executed GSI.

  • Upload document: Sender uploads GSI PDF or DOCX to the signing platform.
  • Place fields: Add signature, date, initial, and conditional fields as needed.
  • Authenticate signers: Choose email, SMS code, or stronger authentication per risk level.
  • Complete signing: Signers review and sign; platform issues completion certificate.

Configuring a secure GSI signing workflow

Set up fields, signer roles, and authentication consistent with company policy and any regulatory requirements prior to sending the GSI.

Field Configuration
Signer roles Define signers, approvers, and reviewers in order.
Authentication Use email, SMS code, or advanced authentication where required.
Conditional fields Show or hide fields based on responses to prior entries.
Audit settings Enable full audit trail and automatic archiving.

Technical and integration considerations for digital GSIs

Confirm platform compliance with your regulatory needs (HIPAA, 21 CFR Part 11, etc.), ensure SSO if required, and standardize storage locations for retention and audit purposes.

  • Supported formats: PDF, DOCX, and fillable forms supported.
  • Integrations: Connectors for Salesforce, NetSuite, and Google Workspace.
  • Authentication options: Email, SMS, and enterprise authentication available.

Security and compliance elements to verify

Transport encryption: TLS 1.2 / 1.3
At-rest encryption: AES-256 encryption
Audit trail: Timestamped action history
Certifications: SOC 2 Type II, ISO 27001
Regulatory support: ESIGN, UETA compliance
HIPAA support: BAA available on request

Key penalties and compliance risks to avoid

1099 late penalty: $60–$330 per form (IRC §6721)
Intentional disregard: $660+ per form, no cap
I-9 paperwork fines: $281–$2,789 per violation
HIPAA breach risk: Civil and corrective action risk
Contract ambiguity: Disputes from vague scope language
Improper signatures: Invalidation where intent not demonstrable

Common mistakes when preparing the Business Services GSI

  • Omitting precise deliverable metrics leads to disputed acceptance criteria and delayed payments, increasing project risk and administrative overhead.
  • Entering inconsistent payee names or TINs can trigger backup withholding, payment rework, or IRS information return rejections under IRC rules.
  • Skipping required disclosures or consumer-consent steps in consumer-facing agreements may undermine ESIGN consumer notice requirements and consent validity.
  • Using unsecured transfer methods or failing to capture an audit trail can reduce evidentiary value in disputes or regulatory reviews.
