Common preparation errors to avoid

  • Incomplete SOWs that omit acceptance criteria or deliverable formats, leading to post-delivery disputes and scope creep.
  • Missing or incorrect tax identification that triggers backup withholding or delays financial setup with accounts payable.
  • Vague pricing terms such as 'reasonable reimbursement' that complicate invoicing and dispute resolution.
  • Failure to attach required insurance certificates or proof of coverage, which can delay work commencement.

Potential legal and financial consequences of errors

Contract Voidability: Ambiguous terms risk unenforceability.
Payment Delays: Incorrect banking causes AP holds.
Tax Withholding: Bad TIN can trigger 24% backup withholding.
HIPAA Noncompliance: Improper PHI handling risks penalties.
Audit Findings: Missing audit trail complicates reviews.
Notarization Failures: Invalid notarization may delay record use.
