The Business Services Pics.io is a standardized business-services agreement and intake package used to document scope, deliverables, pricing, and responsibilities for services delivered via the Pics.io platform. It combines administrative fields (party names, addresses, contact points), commercial terms (fees, payment schedule, invoicing instructions), and operational details (asset access, file formats, delivery milestones). The package is suitable for one-off engagements, recurring service arrangements, or professional services statements of work that attach technical exhibits and asset-handling rules.

Field Configuration
Required fields Mark party name, effective date, fee, and signature as mandatory.
Signer order Choose sequential or parallel routing depending on dependency.
Authentication Select email or SMS code; use stronger methods for high-risk transactions.

  • Formats: PDF and DOCX are standard for signed records.
  • Integrations: Connectors for CRM and cloud storage ease routing.

  • Client signer: Primary client representative signs and returns.
  • Service provider: Authorized company signer completes execution.
  • Finance copy: Send invoice and signed agreement to billing.
  • Archive: Store final PDF in the contract repository.

Acceptance window:

Time allocated for client review and sign-off.

Renewal notice:

Common preparation errors to avoid

  • Using abbreviated or informal entity names that do not match formation documents, which can delay contracting and payments.
  • Leaving price or scope fields ambiguous (for example, 'as needed') and creating grounds for disputes over deliverables.
  • Failing to attach required exhibits, such as schedules, technical specifications, or sample file formats, which invalidates acceptance criteria.
  • Not confirming signer authority or title, leading to executed agreements that counter-parties later challenge.

Risks and penalties of incorrect or incomplete execution

Contract disputes: Ambiguous terms increase litigation risk.
Payment delays: Incorrect billing details slow collections.
Tax exposure: Missing payer information can trigger backups.
Regulatory noncompliance: HIPAA breaches incur civil penalties.
Invalid signatures: Improper execution can void acceptance.
Recordkeeping fines: Failure to retain records risks audit penalties.

Essential security and compliance items to include

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest.
Audit trail: Timestamp and IP for each signing event.
Authentication: Email or stronger multi-factor options.
HIPAA: BAA required for protected health information.
Data access: Role-based permissions and least privilege.
Retention policy: Defined storage and deletion schedules.
