What the Business Services Quotation is and when it’s used

A Business Services Quotation is a written proposal that describes services offered, pricing, timeline, and terms for prospective clients. It functions as a formal offer used during procurement or sales cycles to set expectations, lock in scope and fees, and serve as the basis for a future contract or purchase order once accepted by the recipient.

Why a clear quotation matters for business engagements

A precise Business Services Quotation reduces disputes, speeds decision-making, and documents agreed scope and pricing so both parties have the same expectations before work begins.

Why a clear quotation matters for business engagements

Who prepares and who receives these quotations

Use structured quotations to create a consistent record that supports approvals, eSignature workflows, and downstream contracting.

  • Small business owners and contractors providing discrete services
  • Procurement teams in mid-market and enterprise organizations
  • In-house legal or accounts payable teams reviewing terms and pricing

Essential sections to include in a professional quotation

A well-constructed Business Services Quotation groups information so reviewers can confirm scope, costs, timing, and legal terms at a glance while leaving room for negotiated adjustments.

How to configure an online quotation workflow

Set up fields, routing, and authentication to match internal approval steps and client review habits before sending the quotation for signature.

Conditional Fields Show or hide pricing lines based on service options to reduce errors.
Signer Roles Assign roles (approver, reviewer, signer) and enforce signing order where required.

Where to send and how the signed quotation is delivered

Decide recipients, routing, and final archival location before sending to ensure approvals flow correctly and records are stored.

  • Send to client: Email the signer with a secure link and clear instructions for review and signature.
  • Notify internal teams: Route copies to sales, legal, and accounting for parallel review and processing.
  • Archive signed copy: Store the executed PDF in your document repository and attach to the client record in CRM.
  • Trigger downstream actions: On signature, create an invoice, set up project tasks, or generate a purchase order as needed.

Align technical settings with internal security policies so signed quotations move smoothly into accounting and project systems.

  • Supported Formats: PDF, DOCX, and standard Excel files for input or export.
