What the Business Services RAI WH22 Is and When It’s Used

Business Services RAI WH22 is a structured Request for Additional Information form used by business services teams to request clarifying documentation or data from vendors, clients, or internal groups. The WH22 combines standardized identification fields, itemized data requests, evidence attachment slots, assignment of responsible parties, and response deadlines to reduce ambiguity and repeated follow-ups. It creates an auditable trail for compliance reviews and can be completed digitally to capture timestamps and signer acknowledgements, improving recordkeeping and traceability for internal control purposes.

Why Use a Standardized WH22 for Business Requests

Use Business Services RAI WH22 to formalize requests, shorten response cycles, and provide an auditable record that supports compliance reviews. Standardized fields reduce ambiguity, improve traceability, and clarify deadlines and responsible parties for each requested item.

Why Use a Standardized WH22 for Business Requests

Who Typically Prepares and Responds to the WH22

Typical users include procurement, contract managers, compliance officers, and vendor management teams who handle document requests and verification.

  • Procurement teams: consolidate vendor data requests, track responses, and enforce submission deadlines.
  • Contract managers: request missing contract clauses, attachments, and signed exhibits with clear change history.
  • Compliance officers: collect documentation for audits, regulatory inquiries, and internal control validation purposes.

Use the WH22 to centralize follow-ups, reduce duplicated requests across teams, and maintain a searchable record for audits and management reporting.

Core Sections to Include in a Professional WH22

Core sections of Business Services RAI WH22 define requester details, itemized information needs, deadlines, responsible parties, evidence attachments, and a completion verification block.

Requester Details

Include requester name, department, contact email and phone, internal reference number, and authorization level; this information links the RAI to internal workflows and helps route responses correctly.

Itemized Requests

List each requested document or data point on a separate line with a brief description, required format, and acceptable file types to reduce ambiguity and enable automated validation where available.

Deadlines

Specify clear response deadlines, include time zone, and indicate whether the date is a firm requirement or a target to allow correct prioritization and escalation when items are overdue.

Responsibility

Name the individual or role responsible for providing each item; include secondary contacts for delegation and any internal SLA expectations to support timely fulfillment and accountability.

Evidence Attachments

Provide fields for file attachments, a required file naming convention, and acceptable size limits; request metadata (date, author) to support auditability and automated ingestion processes.

Verification Block

Include a signer or reviewer field to capture name, title, signature (electronic signature permitted), and date to confirm item completeness and preserve traceability for future audits.

Security, Compliance, and Technical Controls to Document

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Audit Trail: Detailed timestamps, IP and action logs
Certifications: SOC 2 Type II; ISO 27001; PCI DSS
Regulatory: ESIGN, UETA, HIPAA (BAA required)
Accessibility: WCAG 2.0 Level AA compliance
Signatures: 21 CFR Part 11 support available

Primary Risks and Consequences of an Incorrect WH22

Incomplete Response: Delays and repeated requests
Missed Deadlines: Escalation and contractual penalties
Recordkeeping Failure: Audit gaps; regulatory exposure
HIPAA Breach: Fines and corrective action
Tax Penalties: Potential IRC §6721 penalties
Contract Breach: Damages; termination rights

Common Preparation Errors to Avoid

  • Unclear item descriptions lead to varying interpretations and incomplete submissions, causing multiple follow-ups and delaying project timelines; use explicit deliverable names and formats.
  • Missing contact or department info prevents timely follow-up; always include primary contact, backup contact, and escalation path with phone and email for each requested item.
  • Ambiguous deadlines without time zone or firm/target status cause misaligned priorities; indicate firm due dates, local time zone, and acceptable grace periods explicitly.
  • Allowing attachments in unspecified formats increases validation errors; specify acceptable file types, naming conventions, maximum sizes, and preferred metadata fields.
