What the Business Services Review Is and when it’s used

A Business Services Review is a structured document that summarizes a vendor, contractor, or internal service arrangement for decision makers, compliance teams, and procurement records. It typically collects scope of services, performance metrics, pricing, key contacts, contract terms, and risk assessments so reviewers can compare options, document approvals, and track follow-up actions. In regulated sectors the Review often accompanies procurement approvals, security assessments, or contract execution. The document supports audit readiness, transparent procurement, and continuity planning by centralizing required facts and approvals in a consistent format.

Why a Business Services Review matters for governance and compliance

A clear Review reduces procurement risk, documents decision rationale, and ensures necessary legal and operational checks are visible to auditors and stakeholders.

Why a Business Services Review matters for governance and compliance

Typical teams and roles that complete a Business Services Review

Teams use this Review to consolidate vendor facts, approve budgets, and confirm compliance before signing contracts.

  • Procurement and sourcing teams who compare vendors and document scoring criteria for selection committees.
  • Legal and compliance teams that verify contract terms, data protection requirements, and regulatory obligations.
  • Business unit managers and finance who confirm scope, cost, and operational readiness before purchase orders.

The Review creates a single source of truth for approvals and future audits across functional stakeholders.

Who can sign and authorize a completed Review

Authorized Signatory

An employee with delegated signature authority (procurement officer, finance director, or department head). Authority should be reflected in corporate resolution or internal delegation policy; the signer’s name and title must match legal records to avoid invalidation.

Executive Approver

Senior officer or C-suite executive who signs when contract value or risk exceeds delegated limits. Executive approval typically follows procurement and legal reviews and is required for binding commitments above set thresholds.

Essential parts of a professional Business Services Review

A complete Review organizes factual, contractual, and risk-related information so reviewers can make timely, auditable decisions without chasing background documents.

Scope of Services

Concise description of deliverables, milestones, exclusions, and SLAs so reviewers understand what services will be provided and how performance will be measured.

Pricing and Terms

All fees, payment schedules, renewal terms, and termination rights summarized clearly to show total cost of ownership and contract length.

Compliance & Security

Relevant certifications, data handling rules, and contractual security obligations (e.g., HIPAA, PCI, SOC 2) that affect legal and operational acceptance.

Risk Assessment

High-level risks, mitigation steps, insurance limits, and contingency plans to flag issues requiring escalation or further review.

Key Contacts

Vendor and internal contact names, roles, and escalation paths for contract management and operational coordination.

Approval Log

Individual approvals, dates, and any conditions or exceptions captured to create an audit trail of the decision.

  • Failing to capture approval conditions or exceptions in the approval log, which creates ambiguity during audits or renewals.
